We're hiring a Residential Construction Project Coordinator with hands-on JobTread experience to support our owner, Project Manager, and field/design teams with project documentation, scheduling support, trade/vendor follow-up, administrative coordination, and system organization.

This role is best suited for someone who has already worked in residential construction, custom homes, luxury residential, design-build, or remodeling as a Project Coordinator, Construction Coordinator, Project Administrator, or similar role.

This is not a generic Executive Assistant role. We need someone who understands construction workflows, knows how to keep project information accurate, and can help make JobTread clean, current, and useful for the team.

The Role

You'll support the leadership and project teams by keeping construction details organized, follow-ups moving, and project information up to date inside JobTread.

You'll help track tasks, schedules, RFIs, change orders, selections, approvals, vendor information, receipts, invoices, project documents, and open items. You'll also provide administrative and executive support to the owner, but the foundation of this role is construction project coordination.

The right person is organized, proactive, responsive, detail-oriented, and already comfortable working inside a residential construction business.

What You'll Do

Project Coordination + Construction Admin

  • Support the owner, Project Manager, and field/design teams with day-to-day project coordination
  • Track project tasks, deadlines, open items, approvals, and follow-ups
  • Help coordinate communication between subcontractors, vendors, suppliers, clients, and internal team members
  • Support RFIs, change orders, selections, purchase tracking, approvals, and project documentation
  • Help collect missing information, pricing, documents, approvals, receipts, invoices, and project updates
  • Maintain clear trackers for long-lead items, procurement needs, selections, and project reminders
  • Help keep projects moving by making sure details do not fall through the cracks

JobTread Management

  • Maintain accurate project information inside JobTread
  • Enter and update project details, tasks, schedules, selections, documents, notes, files, and photos
  • Upload and organize receipts, invoices, estimates, proposals, change orders, approvals, and project-related documents
  • Keep JobTread clean, current, organized, and useful for the team
  • Help create repeatable workflows, templates, checklists, and admin systems as the company grows
  • Make sure JobTread becomes a reliable source of truth for project information

Owner + Administrative Support

  • Manage calendars, scheduling, reminders, and follow-ups for leadership
  • Help organize daily and weekly priorities so important items do not slip
  • Draft, send, and organize emails, meeting notes, client updates, and internal communications
  • Maintain task lists and follow-up trackers
  • Keep digital files, folders, and documents organized and easy to access
  • Assist with basic bookkeeping/admin coordination where needed, including receipt organization, invoice tracking, and document collection

Communication + Follow-Through

  • Follow up with subcontractors, vendors, suppliers, clients, and internal team members
  • Prepare meeting agendas, take notes, and track action items
  • Communicate professionally, clearly, and calmly
  • Stay responsive during agreed working hours and provide timely updates
  • Work independently without needing constant direction
  • Identify gaps in organization and suggest better ways to keep things running smoothly

Who This Is For

This role is for someone who already understands the pace, details, and moving parts of residential construction.

You may be:

  • A Project Coordinator from a residential construction, remodeling, or design-build company
  • A Construction Coordinator or Project Administrator with strong JobTread experience
  • A residential construction admin who has supported PMs, supers, vendors, and clients
  • Someone who enjoys keeping project information clean, organized, and accurate
  • A detail-driven coordinator who can support both project operations and owner-level admin needs
  • Someone who understands that texts and verbal updates are not enough -- the system has to stay current

Requirements

  • Proven experience as a Project Coordinator, Construction Coordinator, Project Administrator, or similar role
  • Hands-on JobTread experience required
  • Residential construction experience required; custom homes, luxury residential, design-build, or remodeling experience strongly preferred
  • Strong understanding of construction workflows, project documentation, schedules, selections, RFIs, change orders, approvals, vendor coordination, and follow-up
  • High level of organization, accuracy, and attention to detail
  • Strong written communication skills
  • Comfortable managing schedules, emails, documents, tasks, and project information
  • Able to work independently and stay responsive during agreed working hours
  • Comfortable with Google Workspace, Gmail, Google Drive, spreadsheets, and construction/project management systems
  • Ability to handle confidential business, project, and client information professionally

Pay, Schedule, and Work Conditions

  • Compensation: $36-$45 per hour, depending on experience, JobTread proficiency, and residential construction background.
  • Job Type: Part-time or full-time, depending on fit and availability
  • Work Setting: Remote
  • Schedule: Flexible, but must overlap with Orange County, CA business hours
  • Pay Range: Based on experience, JobTread ability, and residential construction background
