Reporting to an Assistant Director of Residence Life, and in partnership with the Associate Director of Residence Life, the coordinator for residence life administration is responsible for the implementation and coordination of administrative, human resources, recruitment, and training processes for approximately 200 student staff and 25 professional staff within the Office of Residence Life. This position will serve in the Area Duty Rotation - the second tier of the on-call structure at the University of Utah. Residence Life at the University of Utah is responsible for fostering belonging and student success for a 7,000-bed residential system, with aims to grow residential capacity to approximately 10,000 beds by 2030. The coordinator will work collaboratively with the Office of Residence Life team, colleagues in the Office of the Dean of Student's and Housing & Dining Programs, Student Affairs and academic partners to enrich the student experience and create 'College Town Magic.'

Responsibilities

Human Resource Coordination

  • Serve as the payroll reporter for the Office of Residence Life. Responsibilities include: timely delivery of payroll and related client services, accurate payroll record keeping and reporting, auditing of employee timesheets, and preparation and processing of payroll for ORL personnel, including special payroll needs.
  • Partner with University of Utah Human Resource Management on human resource processes, including but not limited to: payroll, onboarding, offboarding, and other hiring transactions.
  • Serve as a permanent member of any recruitment and training committees (or related topics) within the Office of Residence Life.
  • With direction from the Associate Director, develop and implement human resource management processes for internal use within the Office of Residence Life.
  • Engage in ongoing training offered through Human Resources and report learnings back to supervisor.
  • Maintain and update an employee manual.

Staff Recruitment, Training, & Development

  • Assist in the development of hiring processes to recruit talent to the Office of Residence Life.
  • Assist in the creation of training, in partnership with Human Resources, pertinent for staff to successfully recruit and onboard staff, ensuring compliance with university policy and state and federal law.
  • Coordinate and maintain processes related to data management and human resource information including but not limited to interview questions, evaluation forms, rubrics, etc.
  • Coordinate the annual compliance training schedule, including but not limited to: Title IX, Clery, Guns on Campus, Free Speech on Campus, and others.
  • Coordinate logistics for all training initiatives, including student and professional staff annual training.
  • Assist in the creation of an online training program for both student and professional staff.
  • Manage the implementation of an online training program for both student and professional staff.
  • Coordinate logistics as requested for all recruitment initiatives, including student and professional staff recruitment.
  • Assist in developing a robust data collection system to evaluate efficacy of training and recruitment processes.
  • Manage onboarding of new employees, with direction from Associate Director and Assistant Director, including direct communication with new employees.

Student Support & Accountability

  • Serve in the area duty rotation, the second tier on-call at the University of Utah, to support incident response and management.
  • As needed, serve as an adjudicator in the Student Accountability process, managed by the Office of the Dean of Students'
  • As needed, provide case management efforts for student support cases as directed by the Student Support team within the Office of the Dean of Students'

College Town Magic

  • Work to develop processes and initiatives that support the creation of College Town Magic at the University of Utah.
  • Serve as an interim Resident Director or Residential Community Coordinator based on department need.

Minimum Qualifications

Bachelor's degree in a related area plus two years experience in residence life management, programming, student activities or equivalency (one year of education can be substituted for two years of related work experience) required. Demonstrated supervision, organization, planning, group dynamics, human relations and effective communication skills also required. Master's degree in College Student Personnel or related area and one year post-master's related experience preferred.

Preferences

  • Bachelor's degree in human resources, business, or related field.
  • 1-2 years working in human resources, talent development, or related field.
  • Experience recruiting, interviewing, and selecting employees.
  • Experience working in a university/college housing system.
  • Proven ability to utilize software programs in administrative management.
  • Demonstrated experience utilizing learning management software, like Canvas.
  • Experience working in incident and crisis response.
