Position Summary:

The Administrative Assistant for Student Experience will provide support to the Vice President for Student Experience and staff within the Division. The Administrative Assistant for Student Experience will handle, in a prompt and professional manner, highly confidential and sensitive information and will serve as the front-line for inquiries and issues brought to the Vice-President's Office.

Key Responsibilities:

  • Professionally represent the Student Experience Division to internal and external constituents. n
  • Coordinates the administrative functions for the Student Experience Office and Student Life Suite and assists with greeting office traffic and answering phone calls. n
  • Appropriately respond to incoming emergency phone messages for students. This process may involve locating the student and delivering the message directly.xa0 n
  • Notifying faculty members and the Registrar in cases of student absence for illness, hospitalization, and emergencies. n
  • Maintain and organize files for all students. n
  • Allocate credit card information for Student Experience staff. n
  • Coordinates the flags to welcome our international students -- ensuring they are properly hung and that students from foreign countries have their flags displayed. n
  • Be attentive and listen to students when they come to the office with an issue and direct them to the appropriate resolution. n
  • Answer all calls regarding general information about the College in a professional and courteous manner. n
  • Provide assistance during annual Family Weekend activities by greeting guests and registering parents. n
  • Coordinate and provide support for various staff members' calendars. n
  • Maintain and organize the College's identification card system. includes taking pictures of students, faculty, and staff for the card system and printing the appropriate ID card. This also includes dependents of faculty and staff for campus space utilization.xa0 n
  • Manage and assign mailboxes and mail keys to students and all employees each school year. This includes 1,000 keys for each school year. n
  • Manage the mailroom in Johnson Hall. Hire, train, and manage the schedule for student workers. n
  • Assist with the preparation of Orientation/Hill Kickoff days and work at each event as needed. n
  • Manage all reservation requests from individuals, departments, and student organizations. n
  • Serve as the primary representative for visiting groups (including camps and conferences). n
  • Take orders for birthday cakes and notify students when their cakes are ready for pickup. n
  • Manage student care package orders and disbursement. n
  • Collect information and create a monthly parent newsletter to distribute to all parents. n

  • Communicates department goals, policies, and procedures clearly and respectfully to all segments of the College community and communicates frequently with students regarding services and programs. n
  • Reviews all contracts for accuracy for the department prior to sending to the Administration and Finance Office for processing.xa0 n
  • Partner with the Administrative Assistant who approves student requests for events, use of facilities/materials, and for accessing institutional services. n
  • Create the schedule of events for all aspects of new student orientation and coordinate reservations for all new students for orientation weekend.xa0 n
  • Oversee the hiring, training, and evaluation of Wildcat Welcome Leaders. Support hiring and training needs for Hill Kickoff (summer registration) days. n
  • Support the Vice President for Student Experience with advising the Student Government Association (SGA). n
  • Responsible for developing a unified calendar of all campus programs and activities to ensure a robust, exciting out of the classroom experience. Those activities and organizations should incorporate large scale programs which engage large numbers of students.xa0 n
  • Ensure that all campus tradition events continue to be executed and evolve to today's student (e.g., Wildcat Welcome, Week of Welcome, Culver's Got Talent, Hillstock, etc.) n
  • Supports and encourages the efforts of campus-based programming organizations (e.g., CPC). n
  • Develop protocols and resources to support student organizations with their programming goals. n
  • Coordinate and lead the training, development and advising of the Interfraternity, Pan-Hellenic, and National Pan-Hellenic Council officers.xa0 n
  • Responsible for all aspects of Fraternity and Sorority Life including recruitment, risk management, scholarship, and neighborhood relations for 9 chapters. n
  • Monitor risk management procedures for each of the chapters, making sure they are consistent with best practices, national requirements, and the College's risk management procedures. n
  • Provide day-to-day management of the college-owned fraternity and sorority chapter house operations in conjunction with Residence Life. n
  • Oversee the facilities management and event programming within the Gladys Crown Student Center, Cat's Pause (campus lounge area), and the Lab (campus's coffee shop).n

  • Partner with DIning Services to ensure there is adequate programming in the dining halls throughout the year. n

n n

  • Coordinate leadership development opportunities where students can learn and understand leadership styles and strategies. n
  • Serve as the primary facility manager for the Gladys Crown Center.xa0 n
  • Support operations for the Mabee Center, which may include management of the facility. n
  • Develop and execute and Emerging Leaders program. n
  • Provide support for effective and ongoing recognition programs for student organizations; main liaison for student organizations when they might need support or assistance in growth and development. n
  • Supervise the Esports coach, ensuring all recruitment and retention goals are met.xa0 n
  • Develop a robust programming curriculum to ensure that Culver-Stockton is graduating well-rounded students who are prepared to serve their communities and succeed professionally.xa0 n
  • Manage the Wildcat Connect software and mobile application. n
  • Assess all programs and develop an annual report which specifies fraternity and sorority membership, student organization membership, program attendance, and related learning outcomes.xa0 n
  • Is part of the administrative on-call rotation on nights and weekends and when on call must be available to respond to emergencies.xa0 n

Qualifications:

n

n

  • Bachelor's degree required. Master's degree in College Student Personnel or related Higher Education degree preferred. n
  • 4 years of experience working with college-aged students in related field (graduate experience in higher education is acceptable). n
  • Budget management and supervision experience.xa0 n
  • PC skills including, but not limited to, word processing and spreadsheets, knowledge of Microsoft Office software, including Word, Excel, PowerPoint, Outlook, Publisher, Internet and e-mail. Experience working within the Adobe suite is preferred.xa0 n
