Residential Remodeling Project Scheduling Specialist

What You’ll Do

  • Field and manage incoming calls with polished customer service that builds trust from the first hello.
  • Prioritize communications so critical items rise to the top and distractions stay out of the way.
  • Track leads from first contact through closeout, ensuring full visibility of progress.
  • Schedule consultations, site visits, walkthroughs, and client meetings with accuracy.
  • Facilitate day-to-day coordination among clients, crews, subcontractors, and suppliers.
  • Follow up consistently on action items, approvals, and milestone targets.
  • Record signed estimates, change orders, selections, permits, approvals, and project status.
  • Keep internal and client-facing production schedules up to date and dependable.
  • Anticipate and resolve scheduling conflicts and crew bottlenecks before they happen.
  • Identify missing info early so the field team isn’t scrambling later.
  • Maintain organized project documentation—estimates, invoices, permits, and job files.
  • Assist with purchasing, material orders, and delivery logistics.
  • Share timely, professional updates whenever the schedule shifts.
  • Support accountability with employees, subcontractors, and vendors.
  • Contribute to better systems, workflows, and operations as we grow.
  • Use scheduling software, CRMs, digital workflows, and AI tools to streamline work.
