Objective
Responsible for providing consistent resource support across a range of engagements and will work closely with the business to ensure all staffing needs are met.

Duties and Responsibilities
Level I:

Liaise with interdepartmental stakeholders during the onboarding process to orchestrate requirements needed for a successful start date of new hires.
Manage and confirm new hires specific requirements and expectations aligned with project assignment.
Gathering necessary paperwork and scheduling first days
Ability to empathize with the needs of the new hires and guide them according to their requirements.
Contacting new hires before their start date with details regarding orientation, safety training, project badging, dress code, and answering any queries.
Ensure new hires have technical assistance to properly complete all onboarding requirements.
Prepare onboarding instructions for the new hires.
Keep stakeholders informed of start date timelines to include all associated tasks that are aligned for new hire.
Conduct final confirmation on start day to ensure new hire has reported and completed all tasks required.
Assist with safety training orientation for new hires.
Handle day-to-day administrative work to include processing time entry of employees and workers assigned to specific projects by means of ADP and data entry.

Level II:
Assist Resource Manager with positioning supplemental staff and engagement with Supplier Partners when necessary.
Maintain knowledge of Staffing and Scheduling policies and work agreements as applicable
Foster a collaborative relationship with internal staff to allow positive communication regarding staffing needs.
General admin and other related duties data entry, timesheet monitoring
Must have a sharp level of critical thinking skills such as analytical and problem-solving skills.
Highly accountable for the accurate and timely auditing of billable hours input and invoiced to Supplier Partners
Prepare relevant resourcing reports and analyze for inconsistencies.
Schedule appointments and manage calendars for various departments and staff members.
Collaborate with other departments to ensure schedules align with overall company goals.
Resolve scheduling conflicts in a professional and efficient manner.
Maintain resource management systems.
Assist with the development and presentation of onboarding materials for new hires.
Coverage for Resource Manager when out of office
Work closely with other Coordinators to facilitate optimal resource usage.
Enhance, improve upon administrative systems, and manage in accordance with company policies, procedures, and practices.

Qualifications / Experience / Skills and Attributes:
Requirements:

High School Diploma or equivalent
Minimum of 2-years of proven work experience in role of coordinating onboarding and/or scheduling
Capability of gathering information to make informed, timely and smart decisions to the best benefit of the company.
Strong attention to detail in evaluating the completion of various tasks with ability to prioritize with good time management skills.
Ability to work autonomously and under pressure, with a sense of urgency, to meet deadlines.
Excellent verbal and written communication skills.
A positive, proactive, and determined attitude
Advanced experience with office software, including MS Word, Excel, and Outlook

Level II: Additional Requirements
Minimum of 2-years experience as a coordinator or similar role in recruiting/staffing
Intermediate to Advanced experience with office software, including MS Excel, Word, and Outlook
Experience in information/data analysis with a high degree of accuracy
Capability to manage competing priorities and handle a fast-paced work environment.
Ownership for deliverables, actions, and outcomes
Ability to function independently and to be part of a team.
Excellent communication skills, both written and verbal
Capability of gathering information to make informed, timely and smart decisions to the best benefit of the company.
A positive, proactive, and determined attitude

Preferred:
Bilingual in English/Spanish

Working Conditions / Physical Requirements:
While performing the duties of this job, the employee will be working in both office and construction site settings
Working Hours will be dependent to project needs and will typically involve a standard 40-hour week. Circumstances may occur, which will require additional time or days within the work week.
8am - 5pm (MON-FRI) during training period
7am - 3:30pm (MON-FRI) once fully trained
Physical Requirements The physical demands described are representative of those that must be met to successfully perform the essential functions of this job.
Prolonged periods of sitting at a desk and working on a computer.
Regularly sit, stand, or walk short distances for up to the entire duration of a shift/workday.
When in field, frequent walking on uneven surfaces, including ground in varying weather conditions.
When in field, able to wear personal protective equipment is required, including but not limited to steel toe shoes, gloves, safety glasses, hearing protection, hard hat, vest, etc.
