Job Summary

The Retail and Supply Operations Specialist coordinates retail, office supply, and promotional product operations, including inventory management, purchasing support, order fulfillment, vendor relations, and customer service. The position supports institutional branding initiatives and print production activities under the general direction of the Director of Print, Creative, & Merchandising Logistics.

Duties/Responsibilities

Retail Store Operations

  • Coordinate the daily operation of the campus retail merchandise store.
  • Maintain merchandise inventory, including receiving, stocking, organizing, tracking, and replenishing products.
  • Monitor inventory levels and sales trends and recommend product additions, adjustments, and replenishment schedules.
  • Assist in the selection, procurement, and development of merchandise that supports institutional branding and marketing initiatives.
  • Ensure retail displays, merchandise presentation, and inventory organization meet operational standards.
  • Assist with sales transactions, order fulfillment, inventory reconciliation, and store reporting activities.
  • Coordinate merchandise preparation and fulfillment for campus events, special promotions, and institutional functions.

Office Supply Operations

  • Maintain office supply inventory and coordinate stock replenishment to ensure availability of commonly used departmental supplies.
  • Receive, organize, distribute, and track office supply orders for campus departments.
  • Monitor inventory usage patterns and provide recommendations regarding stocking levels, purchasing needs, and cost-saving opportunities.
  • Assist with inventory audits and maintain accurate inventory records and reports.
  • Coordinate with vendors and suppliers regarding product availability, pricing, quotes, and order fulfillment.

Promotional Products and Branding Support

  • Coordinate with Print Services team on promotional product orders and production activities for campus departments and special events.
  • Research emerging promotional products, industry trends, and production technologies to support institutional marketing objectives.
  • Maintain working knowledge of promotional product software, equipment, production methods, and branding standards.
  • Monitor promotional item inventory and coordinate replenishment for frequently used products.

Print Services Support

  • Assist in the production of printed materials for campus and community customers.
  • Operate print production, bindery, and finishing equipment as needed.
  • Assist with quality control procedures to ensure completed projects meet established specifications and standards.
  • Support equipment maintenance activities and coordinate service requirements as needed.

Customer Service and Administrative Support

  • Serve as a customer service resource for retail merchandise, office supplies, promotional products, and print services.
  • Coordinate order fulfillment, delivery, and distribution activities for merchandise, office supplies.
  • Maintain records and prepare reports related to inventory, sales activity, supply usage, and operational performance.
  • Establish and maintain effective working relationships with campus departments, students, vendors, and community customers.
  • Perform other related duties as assigned by the Director of Print & Design Services.

Minimum/Preferred Qualifications

Education

Associate degree in Business, Marketing, Graphic Design, Supply Chain Management, Retail Management, or a related field required.

Bachelor in related field preferred.

Experience

Two years of experience in retail operations, inventory management, office supply administration, promotional products, print services, or a related field required.

Experience with inventory tracking systems, point-of-sale systems, purchasing processes, or promotional product management preferred.

Experience using Microsoft Office Suite required.

Experience in a higher education environment preferred.

PHYSICAL REQUIREMENTS

Requires frequent standing, walking, reaching, bending, lifting, carrying, pushing, and pulling. Must be able to handle and transport merchandise, office supplies, paper stock, and related materials weighing up to 75 pounds, with or without reasonable accommodation. Requires sufficient visual acuity to safely operate equipment, maintain and review inventory records, and inspect completed work for accuracy and quality.

This position is security-sensitive and subject to the provisions of Texas Education Code §51.215.

WORKING CONDITIONS

Work is performed in retail, warehouse, office, and print production environments. May require exposure to noise, moving mechanical equipment, dust, and printing-related chemicals. Occasional evening or special event support may be required.
