The Retail Coordinator will be the assistant to Director of Retail & Buying. This position provides high-level administrative, organizational, and operational support to the retail and buying department. This role assists with inventory tracking, vendor communication, reporting, and day-to-day retail operations to help ensure department efficiency and success.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide direct administrative support to the Director of Retail & Buying
  • Will be main and first point of contact when the Director of Retail is off site.
  • Maintain organized digital and physical filing systems
  • Handle confidential information with professionalism and discretion (very important)
  • Assist with purchase orders, product data entry, and vendor communications
  • Track inventory levels
  • Assist with stock replenishment on retail floors
  • Support seasonal buying preparation and product organization
  • Coordinate sample management and product deliveries
  • Maintain accurate pricing and product information in retail systems
  • Assist with retail promotions, merchandising projects, and store initiatives
  • Help coordinate retail events, seasonal floor sets, and launches with retail director
  • Monitor supply needs for retail locations
  • Coordinate and assist with Director of Retail and retail shop managers yearly inventory .
  • Compile sales reports and inventory analysis
  • Assist with tracking budgets, invoices, credit card reconciliation and end of month reports
  • Support data accuracy across POS and inventory systems
  • Serve as a professional point of contact for vendors and internal teams
  • Follow-up on orders, shipping timelines, and product issues
  • Build positive working relationships with suppliers and retail staff
  • Complete appropriate trainings listed on the human resources Training Matrix.
  • Adhere to Wheeling Park Commission's safety rules and policy; refer any and all safety concerns to department manager, safety committee or human resources.
  • Interact with the public with a cheerful and positive attitude, solve guest problems and complaints in a proper manner, and maintain harmonious working relationships with fellow employees.

EDUCATION and/or EXPERIENCE

One year certificate from college or technical school; or six to nine months related experience and/or training; or equivalent combination of education and experience.
