The Revenue Cycle Data Entry Clerk is responsible for accurately entering, reviewing, and maintaining patient demographic, encounter, and billing information to support the Revenue Cycle Department. This position requires strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks in a fast-paced healthcare environment. The Revenue Cycle Data Entry Clerk will work closely with Revenue Cycle Specialist to ensure billing data is accurate, complete, and compliant with payer requirements, organizational policies, HIPAA regulations, and PHI confidentiality standards.

The ideal candidate will possess strong data entry skills, working knowledge of medical billing processes, excellent communication abilities, and proficiency in Microsoft Excel and related data management tools.

Essential Duties and Responsibilities

  • Enter patient demographics, encounter details, insurance information, and billing data from source documents into designated spreadsheets and tracking tools.
  • Review data for accuracy, completeness, and consistency prior to submission, upload, or processing.
  • Cross-reference information between the Electronic Medical Record (EMR), OASAS Revenue Calculator, billing files, and Excel spreadsheets to ensure data integrity.
  • Identify and report discrepancies, missing information, or potential billing issues to Revenue Cycle leadership.
  • Assist Revenue Cycle staff with reviewing, scrubbing, and validating billing files prior to submission for payer processing.
  • Maintain accurate records and documentation of completed work and corrections made.
  • Organize, update, and maintain spreadsheets used for billing, reporting, and revenue cycle operations.
  • Monitor assigned work queues and complete data entry tasks within established deadlines.
  • Maintain strict confidentiality of patient information and comply with all HIPAA, PHI, and organizational privacy requirements.
  • Perform other duties as assigned to support departmental operations.
 

Qualifications:

  • One to two years of experience in medical billing, healthcare data entry, revenue cycle operations, or a related healthcare setting preferred.
  • Experience working with Electronic Medical Records (EMR) and healthcare billing systems preferred.
  • Familiarity with eClinicalWorks (eCW), TenEleven, or similar healthcare platforms is a plus.
  • Demonstrated experience with high-volume data entry and spreadsheet management.

Required Skills

  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Proficiency in Microsoft Excel, including data sorting, filtering, and basic formula functions.
  • Ability to manage multiple spreadsheets and meet deadlines in a demanding environment.
  • Strong organizational and time management skills.
  • Ability to identify discrepancies and resolve data issues efficiently.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Basic understanding of medical terminology, insurance plans, CPT, HCPCS, and diagnosis codes preferred.
  • Ability to work independently and as part of a team.

Physical Requirements

  • Primarily indoor office environment.
  • Prolonged periods of sitting and computer use.
  • Frequent use of hands and fingers to operate a keyboard, mouse, and office equipment.
  • Repetitive hand and wrist motions associated with data entry.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Position requires a high level of accuracy and concentration, as errors may have significant financial and operational consequences.
