The RFX Specialist is a member of the Solution Consulting organization and supports Vertafore's proposal response process by coordinating Requests for Proposal (RFPs), Requests for Information (RFIs), security questionnaires, due diligence requests, and other sales support documentation across Agency, MGA, and Carrier solution portfolios.

Reporting to the VP, Solution Consulting, this role partners closely with Sales, Solution Consulting, Product Management, Security, Legal, Compliance, Customer Success, and other cross-functional teams to develop and deliver high-quality proposal responses that support revenue growth and improve sales effectiveness.

The RFX Specialist also serves as the primary content administrator for Vertafore's proposal management platform (Ombud), maintaining the proposal content library, organizing reusable response content, and supporting continuous improvements that increase proposal quality, consistency, and efficiency.

Core Requirements and Responsibilities

Essential job functions include but are not limited to the following:

• Coordinate the end-to-end proposal response process for RFPs, RFIs, security questionnaires, due diligence requests, and other sales support documentation.
• Manage proposal timelines, priorities, deliverables, and submission deadlines across multiple concurrent opportunities.
• Coordinate with Solution Consulting, Product Management, Security, Legal, Compliance, Customer Success, and Sales to gather, review, and finalize proposal responses.
• Develop clear, accurate, well-written, and customer-focused proposal responses aligned with Vertafore's products, solutions, and messaging.
• Ensure proposal submissions meet quality standards, customer requirements, and established deadlines.
• Serve as the primary content administrator for Vertafore's proposal management platform (Ombud).
• Maintain and organize the proposal content library within Ombud, ensuring approved content remains accurate, current, and easily accessible.
• Create and update standardized proposal responses, templates, and reusable content to improve consistency and reduce response time.
• Coordinate periodic content reviews with subject matter experts to ensure proposal content reflects current product functionality, security standards, and corporate messaging.
• Utilize available automation and AI capabilities within Ombud to improve proposal efficiency and content quality.
• Track proposal metrics, content usage, and response activity to support continuous process improvements.
• Build strong working relationships across business functions to facilitate collaboration and timely proposal completion.
• Provide regular status updates and reporting to Solution Consulting leadership on proposal activities and deadlines.
• Support additional solution consulting and proposal-related initiatives as assigned.

Qualifications

• Bachelor's degree in Business, Communications, English, Marketing, Information Systems, or a related field; or an equivalent combination of education and experience.
• 1-3 years of experience in proposal coordination, RFP/RFI responses, sales support, marketing, communications, project coordination, or a related business function.
• Strong business writing and editing experience required.
• Experience working with proposal management software such as Ombud, Responsive (RFPIO), Loopio, or similar platforms is preferred.
• Experience maintaining knowledge libraries, documentation, or reusable content is preferred.
• Experience in SaaS, enterprise software, or a technology-focused organization is preferred.
• Insurance industry experience is a plus but not required.

Additional Requirements and Details

• Travel required up to 10% of the time.
• Ability to work remote with a stable internet connection on an as-needed basis.
• Located and working from an office location when required.
• Occasional lifting and/or moving up to 10 pounds.
• Frequent repetitive hand and arm movements required to operate a computer.
• Specific vision abilities required include close vision (working on a computer, etc.).
• Frequent sitting and/or standing.
