Risk Coordinator

Description

The Risk Coordinator provides administrative and operational support to the Risk Management department, assisting with the enrollment of projects into all applicable insurance programs - including Owner Controlled Insurance Programs (OCIPs), Contractor Controlled Insurance Programs (CCIPs), wrap-up policies, subcontractor default insurance (SDI) programs, and standard project-specific placements - as well as tracking of insurance policies (including builder's risk) and certificates of insurance (COIs), subcontractor prequalification, the company's contractor licensing across all jurisdictions, and claims handling support across general liability, workers' compensation, auto, property, and builder's risk lines. This role is a strong entry-to-mid-level position for someone building a career in construction risk management and insurance administration.

Insurance Program Enrollment Support

• Assist in enrolling new projects into the appropriate insurance program(s), including OCIPs, CCIPs, wrap-up policies, subcontractor default insurance (SDI) programs, and traditional owner/GC-furnished insurance arrangements, as directed.
• Prepare and submit subcontractor enrollment paperwork and eligibility documentation to brokers, carriers, or third-party program administrators for the applicable program type.
• Assist in setting up or enrolling projects under builder's risk policies, including gathering project values, schedules, and scope details required by brokers or carriers.
• Track enrollment status across active projects and flag missing or incomplete submissions, regardless of program type.
• Maintain organized project files documenting program participation, exclusions, and related correspondence for each insurance program.

Policy & Certificate of Insurance (COI) Tracking

• Maintain the company's insurance policy tracking log across all program types, including renewal dates, coverage limits, and endorsements for general liability, auto, umbrella/excess, and builder's risk policies.
• Track builder's risk policy effective/expiration dates by project and coordinate extensions as project schedules change.
• Collect, review, and track subcontractor and vendor COIs for compliance with contract insurance requirements, adjusting requirements based on the insurance program governing each project.
• Follow up with subcontractors, brokers, or agents to resolve non-compliant or expiring certificates.
• Maintain COI tracking software/database and generate compliance status reports for project teams.
• Notify project management of insurance gaps or upcoming expirations (including builder's risk coverage lapses) that could impact project start dates or ongoing work.

Subcontractor Prequalification & Company Licensing

• Assist with the subcontractor prequalification process, including collecting financial statements, safety records, references, and insurance documentation.
• Maintain the subcontractor prequalification database and ensure records are current and complete.
• Flag prequalification issues to project management and procurement teams prior to subcontractor award.
• Track the company's contractor licenses across all jurisdictions in which the company operates, including license numbers, classifications, renewal dates, and continuing education/bond requirements.
• Coordinate with legal counsel, accounting, or outside licensing agents to prepare and submit new license applications and renewals as the company enters new states or jurisdictions.
• Maintain a master licensing tracker and proactively flag upcoming expirations, renewal deadlines, or qualifying party changes to avoid lapses that could jeopardize bidding or project work.
• Maintain organized records of license certificates, bonds, and related filings for audit and compliance purposes.

Claims Support

• Assist with the intake and initial documentation of incidents and claims across general liability, workers' compensation, auto, property, and builder's risk lines, regardless of which insurance program governs the project.
• Enter and maintain claims data in the claims management system, ensuring accurate and timely records.
• Coordinate with project teams to gather incident reports, witness statements, photos, and supporting documentation, including for builder's risk losses (e.g., weather events, fire, theft, or vandalism on active job sites).
• Support the Risk Administrator with claims status tracking, follow-up communications, and file organization.
• Assist in preparing loss run summaries and claims reports as requested.

General Administrative Support

• Respond to routine inquiries from subcontractors, brokers, and internal teams regarding insurance and compliance requirements.
• Assist with organizing documentation for insurance renewals and audits.
• Maintain accurate, well-organized electronic and physical filing systems for all risk management records.
• Support other risk management initiatives and special projects as assigned.

Education & Experience

• Associate's or Bachelor's degree in Risk Management, Insurance, Business Administration, Construction Management, or related field preferred (or equivalent work experience).
• 1-3 years of experience in insurance administration, risk management, claims support, or construction administration preferred.
• Experience with COI tracking, subcontractor compliance, builder's risk policies, controlled insurance programs, or contractor licensing is a plus.

Skills & Knowledge

• Basic understanding of commercial insurance concepts (GL, workers' compensation, auto, builder's risk) and familiarity with different project insurance program structures (OCIP, CCIP, SDI, wrap-up, traditional).
• Familiarity with COI tracking platforms (e.g., myCOI, Certificate Exchange), contractor licensing requirements, and/or claims management systems is a plus.
• Strong attention to detail and ability to manage repetitive, deadline-driven tasks accurately.
• Proficiency with Microsoft Excel and Outlook; ability to learn new software systems quickly.
• Strong organizational and follow-up skills, with the ability to manage multiple subcontractors, projects, insurance programs, and jurisdictions simultaneously.
• Clear written and verbal communication skills for interfacing with subcontractors, brokers, licensing agencies, and internal teams.

Working Conditions

• This is a non-exempt position and qualifies for overtime pay in accordance with applicable law and company policy.
• Primarily office-based, with minimal travel required.
• Occasional site visits may be requested for training or claims support purposes.
