Compensation / Job Specifics

  • This position is in-person in Laurel Maryland
  • This work days for this position are Monday - Friday
  • Monday - Friday : 8:00AM - 5:00PM
Job Summary:
The Routing and Receiving Coordinator is responsible for organizing and finalizing the daily crew schedule and routes, preparing accurate job estimates, and receiving service parts into inventory. This role monitors workload, service priorities, and geography to build efficient routes, prepares estimates and quotes for customers, and physically receives and logs incoming parts. The Routing and Receiving Coordinator supports customer satisfaction, crew efficiency, and the overall operational flow of the Parts and Service Departments.


Essential Duties:


•        Schedule crews efficiently each day based on workload, location, and service priorities
•        Plan and coordinate daily and weekly routes to maximize productivity and minimize drive time
•        Prepare accurate job estimates and quotes for customers in a timely manner using Bluebook estimating software
•        Physically receive incoming service parts shipments and accurately enter them into the company inventory system
•        Communicate with customers regarding scheduling, estimates, and service changes by phone, text, or the proprietary texting system
•        Collaborate closely with field crews to ensure schedules are followed, estimates align with actual job scope, and issues are addressed quickly
•        Coordinate with the Parts Department to verify inventory accuracy and part availability before scheduling jobs
•        Handle customer and crew messages in a professional, customer-focused manner
•        Maintain accurate scheduling records, estimate documentation, and customer information
•        Proactively problem-solve around weather delays, last-minute changes, or unexpected issues
•        Follow all departmental procedures and standard operating workflows
•        Perform additional duties as assigned


Qualifications:


•        Previous experience in scheduling, dispatching, route coordination, or estimating preferred
•        Strong organizational and time-management skills
•        Excellent verbal and written communication skills
•        Ability to read job specifications and accurately calculate costs, materials, and labor
•        Professional demeanor with a customer-first mindset
•        Ability to multitask, prioritize, and stay calm under pressure
•        Comfortable using scheduling and estimating software, phones, and basic computer systems
•        Reliable, dependable, and detail-oriented
•        CRM experience preferred; currently using FieldAware

Physical Requirements:


•        Ability to stand, walk, or sit for extended periods
•        Ability to work in an office environment with regular computer use
•        Ability to physically receive and handle incoming parts shipments, including occasional lifting


Work Environment:
•        Office and receiving-area based position within a fast-paced parts and service department
•        Daily scheduling and routing deadlines require strong time management
•        Frequent interaction with field crews, parts staff, leadership, and customers
•        Work requires shifting priorities and managing time-sensitive requests
