Job Description: Routing / Field Trip Coordinator
Job Overview
- Title: Routing / Field Trip Coordinator
- Schedule: 8-Hour shift (e.g., 7:30 AM - 4:00 PM)
- Purpose: Coordinate district-wide pupil transportation routes for regular and special needs programs. Ensure safe, efficient, timely, and economical services through collaboration with administrators, drivers, parents, and staff.
Qualifications
Education & Certifications
- High School diploma or GED.
- Age 18 or older.
- Valid Texas CDL with Passenger (P) and School Bus (S) endorsements.
- Associate or Bachelor's degree in Logistics or Transportation preferred.
Special Knowledge & Skills
- Proficient in routing software, spreadsheets, databases, and word processing.
- Ability to read and interpret policy and procedure manuals.
- Clear written and verbal communication skills.
- Ability to operate a school bus.
- Must pass annual physical, drug, and alcohol screenings.
Experience
- Two years of experience as a certified school bus driver.
- Two years of experience as a route scheduler and supervisor (preferred).
Major Responsibilities & Duties
Routing & Operations
- Develop Routes: Partner with the Director to create routes aligned with Texas Education Agency guidelines.
- Manage Adjustments: Supervise, coordinate, and approve all route changes according to district policy.
- Build Schedules: Generate route data and post schedules in the Transfinder Bus Routing System.
- Specialized Routing: Coordinate special education and summer school routes.
- Document Routes: Ensure drivers maintain folders with precise morning and afternoon route descriptions.
- Update Maps: Supervise updates to district maps displaying areas served by each bus.
Dispatch & Daily Management
- Driver Assignment: Manage shifts, routes, vehicle assignments, and substitute drivers.
- Live Dispatch: Direct drivers and vehicles via telephone and two-way radio.
- Daily Operations: Oversee routine bus operations and dispatch functions.
- Backup Driving: Drive a school bus route when operational needs require it.
Field Trips & Extracurriculars
- Trip Processing: Schedule, assign, and dispatch all Pre-K-12 field trips, athletic events, and special education trips.
- Coordination: Receive trip requests and flag duplicate notices for requestors.
- Driver Rotation: Maintain a fair rotation system giving all eligible drivers equal access to extra trips.
- Trip Prioritization: Prioritize scheduling to give drivers maximum advance notice.
- Problem Resolution: Contact trip requestors immediately if scheduling conflicts arise.
- Weekend Support: Act as the emergency contact person during weekend student travel.
Communication & Administration
- Stakeholder Alerts: Notify parents, drivers, and schools of schedule, address, or bus changes.
- Public Relations: Maintain positive relations with students, staff, and the community.
- Complaint Resolution: Field and resolve complaints regarding drivers, buses, routes, and safety.
- Data Management: Maintain the field trip database and log trip entries daily.
- Record Keeping: Keep precise, confidential records of all trips and drivers.
- Efficiency Analysis: Recommend cost-saving strategies to the Director, such as consolidating trips.
