Summary of Position:

The Administrative Assistant to the sales department is responsible for supporting all operational and direct sales efforts of the Destination Sales Team, Sales Managers, and Director of Sales. High energy, attention to detail, and providing clear andconsistent communication is the key to success in this position. This position is integral to a successful sales process.

Essential Functions:

  • Maintain high level of knowledge of the resort amenities, activities, outlets, accommodations, and departments.
  • Perform administrative duties to support directors and managers with essential functions (expense reports, site inspection coordination, sales file organization, sales related accounting issues)
  • Prepare all site inspection documents as directed. Ability to perform site inspections on behalf of managers as needed.
  • Submit amenity requests for personalized welcome amenities and welcome cards for all site visits, VIP reservations or as directed.
  • Prepare sales contracts, proposals, and client documents.
  • Incoming client RFP coordination.
  • Various sales office organizational activities.
  • Sales office reception area coverage.
  • Answer multiple phone lines while remaining organized.
  • Lunch/vacation coverage.
  • Quote rates and communicate with guests and meeting planners via verbal and written communication.
  • Shadow Site Tours (as requested by Manager).
  • Other duties as assigned by the VP of Sales and Event Management, Director of Sales, Sales Managers and/or the General Manager.
Qualifications:

Education: High School Diploma or equivalent required, college degree preferred.

Experience: Previous Administrative/Clerical experience required; hospitality experience preferred.

Knowledge, Skills, and Abilities:
  • Required proficiency in Salesforce & Microsoft Office products (Word, Excel, Outlook), social media, and internet browsers.
  • Required knowledge of hotel/resort operations.
  • Able to multi-task efficiently.
  • Proficient project and organizational skills.
Personal Characteristics:
  • Behaves ethically.
  • Communicates effectively: Speaks and listens in a clear, thorough, and timely manner, effectively reading and writing, using the English language.
  • Professional Appearance: Exhibits an appearance appropriate for a four-diamond resort. (Specific grooming standards are available for review)
