This position is 100% on-site and reports to our facility on site in Syosset, NY.

Job Summary
This specialized administrative Sales Assistant role will support the efforts of the Vice President of Healthcare. You will provide a variety of complex administrative tasks, working closely with the Executive Assistant and Sales Coordinator. You will assist to gather input, secure approvals, and ensure deadlines and client requirements are consistently met. Responsibilities include processing purchase orders, supporting project kickoff activities, and managing the creation and distribution of project and compliance documentation for healthcare systems.

Salary Range
$24.00 per hour - $28.00 per hour

Hours
Monday – Friday, 08:00am – 05:00pm

Responsibilities

  • Prepare accurate customer proposals and quotes based on individual scope and pricing guidance provided by the VP of Healthcare and department supervisors
  • Maintain detailed reporting for proposals, contracts, and project activity to ensure audit readiness
  • Partner with internal and external stakeholders to gather required information and approvals; stay on track with frequent follow ups to ensure deadlines are met
  • Process purchase orders from large healthcare and other commercial clients
  • Coordinate with internal teams regarding new purchase orders and awards to support smooth project kickoff and alignment
  • Prepare and distribute physical project documentation, including paperwork, labels, and job folders
  • Create, compile, and distribute documentation to healthcare clients and agencies, including but not limited to Northwell Health, Nassau County facilities, and St. John’s Hospital, ensuring all submissions meet client-specific requirements, deadlines and compliance requirements
  • Provide excellent customer service while managing high volume of phone and email inquiries

Basic Qualifications

  • 2-year Associate’s Degree
  • Excellent communication skills both written and verbal
  • Full professional working proficiency in the English language
  • Attention to detail with an ability to stay focused on assigned tasks
  • Proficiency in Microsoft Office Suite
  • Valid Driver License and clean driving record

Preferred Qualifications

  • 4-year Bachelor’s Degree
  • Previous experience in Sales, Marketing or Communications
