Summary: 
The Sales Asset Coordinator is responsible for supporting sales operations through the coordination and management of equipment assets, all demo and show inventory, work order administration, and claims processing. This role serves as a liaison between sales, service, logistics, and administrative teams to ensure equipment readiness, accurate documentation, and timely resolution of asset-related issues. The position requires strong organizational skills, exemplary attention to detail, equipment knowledge, and the ability to manage multiple priorities while supporting the sales team and enhancing customer satisfaction.

Essential Functions and Responsibilities:

  • Demo & Show Equipment Management:
    • Track demo and show equipment inventory, location, availability, and utilization. 
    • Coordinate machine assignments, transportation, maintenance, and event readiness. 
    • Ensure equipment is inspected, serviced, and presentation-ready for customer demonstrations and trade shows. 
  • Oversee work orders, including CVA (Customer Value Agreement) activity, goodwill claims, and service-related follow-up. 
  • Support PDI (Pre-Delivery Inspection) and SMR (Sales Make Ready) processes to ensure equipment is delivered and maintained according to company standards. 
  • Control and monitor transportation and logistics-related damage claims through resolution. 
  • Collaborate with sales, service, logistics, and administrative teams to ensure accurate asset management and documentation. 
  • Provide operational support to sales representatives and management to improve asset utilization and customer experience.

Minimum Skills and Qualifications:

  • High school diploma required; associate or bachelor’s degree preferred. 
  • Minimum 3–5 years of experience in equipment sales support, asset coordination, service administration, claims processing, or a related field. 
  • Working knowledge of heavy equipment operations, maintenance processes, and industry terminology. 
  • Experience with work order coordination & management, warranty/goodwill claims, and equipment asset tracking. 
  • Strong organizational, problem-solving, and multitasking skills with exceptional attention to detail. 
  • Proficiency in Microsoft Office applications and equipment management systems. 
  • Effective communicator with collaboration skills driving proactive engagement between sales, service, logistics, and administrative teams.
  • Self-motivated with the demonstrated capability to prioritize workload and meet deadlines.

Physical Requirements:
The primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible
