The Role

The Sales Assistant at Found Rental Co. is a detail-driven, team-oriented professional who plays a critical role in supporting the Sales Team and ensuring an excellent client experience.

As a key partner to Account Executives, this role is responsible for maintaining accuracy, organization, and communication across all client orders and internal workflows. The Sales Assistant supports the execution of events from initial inquiry through completion by managing details, coordinating updates, and ensuring all information is accurate and aligned across teams.

With a strong commitment to service and operational excellence, the Sales Assistant helps ensure every client interaction is timely, organized, and reflective of Found’s brand standards. This role requires the ability to balance multiple priorities in a fast-paced, collaborative environment while maintaining a high level of professionalism and attention to detail.

Key Responsibilities

Sales Team and Client Support:

  • Support Account Executives with daily tasks that contribute to client relationships, sales efforts, and revenue generation
  • Follow Found Rental Co. communication standards with clients and internal teams, ensuring timely and Found-specific warm and professional communication at all touchpoints
  • Assist in managing inbound inquiries and calls, routing communication appropriately
  • Provide office coverage and order support when Account Executives are onsite or unavailable
  • Support client relationships through responsiveness, organization, and order accuracy
  • Support Account Executives in preparing proposals, design decks, and order updates to meet and exceed client expectations
  • Maintain a proactive view of the shared team and showroom calendars, providing scheduling and advance preparation support to the Account Executives for on-site meetings
  • Maintain a high standard of brand-focused presentation and professionalism in all client-facing environments

Order and Event Support:

  • Assist in inputting, updating, and maintaining accurate client orders throughout the event lifecycle
  • Review orders for completeness and flag discrepancies or missing information
  • Support with maintaining timelines, ensuring all internal and external deadlines, follow-ups, and deliverables are clearly communicated and met
  • Organize and maintain event folders, documentation, and client records
  • Support Account Executives by coordinating proactive client follow-ups for pending orders, finalizing order details to meet deadlines, and post-event follow-ups ensuring client satisfaction
  • Actively support product readiness and inventory execution, including participation in hands-on operational tasks as needed to ensure successful event delivery

Cross-Departmental Coordination:

  • Collaborate with Production and Logistics teams to support daily operations
  • Communicate client expectations, updates, and priorities clearly across all internal teams, with a focus on meeting internal deadlines to increase operational accuracy and efficiency
  • Ensure all internal teams have accurate, up-to-date information for event execution
  • Follow all internal core processes and maintain consistent communication with internal teams to promote operational excellence, collaborative efficiency, consistency, and seamless handoffs throughout the order lifecycle
  • Contribute to shared team responsibilities and initiatives that support broader team and management needs and priorities, daily operations, client experience, and department effectiveness

Showroom and Pillow Room Ownership:

  • Maintain showroom presentation to ensure a consistent client-ready environment
  • Support scheduling and preparation for showroom appointments and mockups
  • Assist with showroom resets and organization of inventory
  • Own pillow room and pillow inventory management, including order organization & pulls, restocking, cleaning & laundry, repair tickets, and maintaining accuracy of selections for orders
  • Maintain organization and cleanliness of the pillow room to ensure it is fully stocked and client-ready at all times

Administrative and Operational Responsibilities:

  • Complete work with a high level of urgency, accuracy, and attention to detail
  • Maintain accurate client records, contracts, and documentation within company systems
  • Support Account Executives in tracking pipeline activity, order status, database organization, file management, and system accuracy
  • Participate in sales meetings and team collaboration discussions
  • Keep Director of Sales informed of key opportunities and challenges
  • Provide additional team and management support as needed, contributing to special projects, operational needs, and evolving business priorities
  • Actively participate in maintaining shared spaces and resources to support overall team functionality and the client experience
