Job Summary:
The Part-Time Sales & Catering Coordinator provides onsite support for weddings, meetings, banquets, and special events to ensure each event is executed smoothly and professionally. This position serves as the primary onsite liaison between clients, vendors, and operations teams, assisting with event setup, execution, and breakdown across the property's event venues. The coordinator works closely with multiple departments to deliver exceptional guest experiences while maintaining company standards. Hours are based on operational needs and will primarily include evenings, weekends, holidays, and occasional daytime events.

Job Description:

ESSENTIAL FUNCTIONS
  • Serve as the onsite coordinator for weddings, meetings, banquets, and special events.
  • Welcome clients, vendors, and guests while providing exceptional customer service throughout each event.
  • Assist with event setup according to Banquet Event Orders (BEOs), including room layouts, tables, chairs, linens, décor, signage, place settings, and other event details.
  • Conduct final walkthroughs prior to guest arrival to ensure event spaces meet company standards and client expectations.
  • Monitor event timelines and communicate with department managers to ensure events remain on schedule.
  • Coordinate with catering, culinary, bar, lodging, housekeeping, maintenance, and management teams to ensure seamless event execution.
  • Serve as the primary onsite contact for clients and vendors during assigned events, responding promptly to requests and resolving minor issues professionally.
  • Ensure food and beverage service follows established quality, sanitation, and alcohol service standards.
  • Monitor event spaces throughout functions to maintain cleanliness, organization, and presentation.
  • Assist with event breakdown and ensure venue spaces are restored to operational standards.
  • Report guest concerns, maintenance issues, safety concerns, or unusual incidents to management immediately.
  • Maintain positive relationships with clients, vendors, and team members to promote exceptional guest experiences.
  • Travel between event venues on the property as operational needs require.
  • Perform other event-related duties as assigned by management.

SKILL AND KNOWLEDGE REQUIREMENTS
  • High School Diploma or GED required.
  • Previous experience in hospitality, catering, banquets, hotels, restaurants, or event coordination preferred.
  • Excellent customer service and interpersonal skills.
  • Strong verbal communication skills with the ability to interact professionally with guests, vendors, and team members.
  • Ability to remain calm and organized while working in a fast-paced environment.
  • Excellent time management and organizational skills.
  • Ability to multitask and adapt to changing event needs.
  • Ability to work independently while collaborating effectively with multiple departments.
  • Basic computer and smartphone proficiency preferred.

PHYSICAL AND MENTAL REQUIREMENTS
  • Frequently move throughout the property to oversee and assist with events.
  • Stand and walk for extended periods during events.
  • Frequently bend, stoop, kneel, reach, push, pull, and lift while assisting with event setup and breakdown.
  • Lift, carry, and move up to 35 pounds as needed.
  • Read and interpret Banquet Event Orders (BEOs), room diagrams, and event timelines.
  • Clearly communicate with guests, vendors, and staff in a fast-paced environment.
  • Work indoors and outdoors in varying weather conditions as required.
  • Physical presence at the job site is essential to perform job duties.

EQUIPMENT USED
  • Mobile phone or two-way radio for communication.
  • Tablet or computer for accessing event information as needed.
  • Standard office equipment on an occasional basis.
  • Event equipment including tables, chairs, linens, d écor items, signage, carts, and serving equipment.
