    The Sales & Catering Coordinator plays a dual-focus role responsible for driving local meeting space sales initiatives and providing comprehensive administrative and operational support to the Sales & Marketing department. This position actively sources local corporate and social business for our single meeting space, handles group and catering coordination from inquiry to execution, and ensures alignment with high brand and ownership standards (HRI Hospitality and Rockbridge).

    Pay Range: $19 - $22 per hour

    Supervision Received: Director of Sales (DOS)

    JOB SUMMARY

    The Sales & Catering Coordinator plays a dual-focus role responsible for driving local meeting space sales initiatives and providing comprehensive administrative and operational support to the Sales & Marketing department. This position actively sources local corporate and social business for our single meeting space, handles group and catering coordination from inquiry to execution, and ensures alignment with high brand and ownership standards (HRI Hospitality and Rockbridge).

    MINIMUM REQUIREMENTS

    • Education: High School Diploma required; 4-year college degree preferred.
    • Experience: Minimum of 1 year of hotel experience in Sales, Catering, or Front Office operations. Proficiency in hotel sales and property management systems.
    • Skills & Abilities:
      • Excellent oral and written communication skills.
      • Strong organizational skills with the ability to prioritize and multitask in a fast-paced environment.
      • Proactive mindset with a drive for local outbound sales and community networking.
      • Proficient in Microsoft Office (Word, Excel, PowerPoint).
      • Strong attention to detail and professional customer service demeanor.

    JOB DUTIES & RESPONSIBILITIES

    Local Sales & Revenue Generation:

    • Execute local sales initiatives targeting nearby businesses, law firms, and medical offices for small meetings, training sessions, and day-meeting packages.
    • Respond to inbound inquiries for the hotel's meeting space and social events, driving conversion to maximize utilization of the venue.
    • Assist the Director of Sales in prospecting, conducting site visits, and hosting local client walkthroughs and menu tastings.
    • Partner with local wedding planners and coordinators to capture rehearsal dinners, room blocks, and morning-after brunches.

    Group Coordination & Administration:

    • Create and distribute detailed Banquet Event Orders (BEOs) and group resumes to operational departments.
    • Monitor and manage room blocks, cut-off dates, and contract clauses in coordination with group reservation channels.
    • Maintain accurate documentation of events, changes, and special client requests in the sales software system.
    • Assist in compiling sales reports, tracking local sales metrics, and forecasting group food and beverage revenue under DOS guidance.

    Operations & Liaison:

    • Serve as an effective liaison between clients, the DOS, and hotel operations (F&B, Front Desk, Housekeeping) to ensure flawless event execution.
    • Review billing information and assist with credit verification and post-event folio routing.
    • Support the DOS with administrative tasks, reporting requirements, and correspondence as requested by property management and ownership.
