At The Union Station Nashville Yards, Autograph Collection, every event tells a story, from elegant weddings to corporate celebrations inside our beautifully restored historic train station. As our Sales & Events Coordinator, you'll play a key role in creating unforgettable guest experiences while developing your career in luxury hospitality.

    This position is ideal for someone looking to build a long-term career in hotel sales, weddings, and event management. You'll work alongside experienced sales professionals while gaining hands-on experience that can lead to future opportunities in Wedding Sales, Group Sales, or Event Management.

    Sales & Events Support

    • Serve as the first point of contact for new group and event inquiries by receiving qualifying, and routing sales leads while ensuring every prospective client receives a prompt, professional first impression.
    • Create and assign master bill (PM) accounts for groups and events.
    • Create room blocks and reservation links.
    • Manage group room block inventory and support reservation changes and booking requests.
    • Distribute weekly reports.
    • Support the Wedding Sales  Manager with tastings, event detailing, site tours, and final walkthroughs.
    • Coordinate wedding details and prepare event resumes.
    • Communicate group and event details with clients and hotel departments.

    Group Billing

    • Manage billing records, receipts, payment documentation, and final billing reconciliation.
    • Manage contract-based financial requirements, including deposits and attrition.
    • Monitor payment status and assist with payment resolution.
    • Post group-related revenue and charges.
    • Prepare complete final billing documents with supporting charges.
    • Coordinate final bill review and invoice distribution.

    Qualifications

    • Hospitality, hotel, catering, event coordination, or administrative experience preferred.
    • Highly organized with strong communication skills and a commitment to exceptional service.
    • Ability to prioritize multiple tasks with accuracy and attention to detail.
    • Experience with Microsoft Office; CI/TY, OPERA, Delphi, or Marriott systems preferred.
    • Accounting or billing experience preferred.
    • Ability to build strong client relationships and collaborate across departments.

    ACADEMIC BACKGROUND

    • High school diploma or equivalent required.
