    Description

    JOB DESCRIPTION

     

    The Sales Coordinator is a key member of the call center and sales support team, serving as the customer’s first point of contact and ensuring a smooth, professional, and efficient experience from the initial inquiry through the scheduling of appointments. This role plays a critical part in the company’s operational flow, directly influencing booking rates, customer satisfaction, and overall sales efficiency.

    The ideal candidate is detail-oriented, organized, energetic, and highly coachable, someone who thrives in a fast-paced environment, communicates with clarity and empathy, and consistently delivers a top-tier customer experience.

    This position is On-Site in Winchester, VA, Monday to Friday, from 8:00 AM to 4:00 PM.

    ESSENTIAL JOB FUNCTIONS

     

    Inbound Calls & Customer Communication

     

                 Answer inbound inquiries, including calls, texts, emails, and online submissions.

                 Qualify leads using company-approved scripts and guidelines.

                 Provide warm, professional communication aligned with company values.

                 Maintain high customer satisfaction and ensure positive first impressions.


    Outbound Calls

     

                 Outbound Calls. (Replaces: follow-up on unscheduled or canceled appointments, per client request.)

     

    Scheduling & Calendar Management

     

                 Schedule and confirm estimated appointments.

                 Maintain a full appointment calendar, ensuring weekly capacity goals are met.

                 Reschedule canceled or missed estimate appointments promptly.

                 Identify scheduling gaps or inefficiencies and recommend improvements.


    CRM & Administrative Support

     

                 Input, update, and maintain accurate customer information in the CRM.

                 Track lead sources, appointment outcomes, and booking metrics.

                 Generate and submit daily/weekly sales reports as needed.


                 Upload relevant notes and documentation to support the sales process.


    Sales Team Support

     

                 Collaborate with the sales team to maximize demo rates (target: 90%).

                 Provide timely communication to ensure smooth handoffs and efficient workflows.

                 Support continuous improvement of SOPs and internal processes.

                 Maintain positive working relationships with all staff.



    REQUIREMENTS

     

                 Clear, confident, and professional communicator.

                 Strong grammar, clarity, and customer-facing communication skills.

                 High empathy and emotional intelligence.

                 Detail-oriented with a strong sense of urgency.

                 Highly focused and able to manage repetitive tasks with consistency.

                 Ambitious, self-motivated, and driven to perform without micromanagement.

                 Honest, hungry, and humble. (Client emphasis)

                 Previous call center or high-volume phone experience required.

                 Comfortable making 100+ dials per day.

                 Comfortable handling difficult conversations and resolving customer issues.




    COMPENSATION PACKAGE

                 Hourly rate: $18 – $20/hr.

                 Potential performance-based bonuses (e.g., $5 per demo).

    WORKING CONDITIONS

                 Fully onsite role located in Winchester, VA.

                 Work schedule: 8:00 AM – 4:00 PM, Monday–Friday.

                 Fast-paced call center + sales support environment.


                 High customer interaction.
