Sales Department Coordinator and Project Manager

Full Time | Monday-Friday | 8:30am-5pm

UMC is currently seeking a Sales Dept. Coordinator and Project Manager for our Home office in Neptune, NJ.


Requirements for a Sales Dept. Coordinator and Project Manager:

  • Associate's degree or equivalent combination of education and experience.
  • 2+ years of experience providing executive-level support, project coordination, sales support, marketing operations, or similar roles requiring strong organization, follow-through, and cross-functional coordination.

Responsibilities for a Sales Dept. Coordinator and Project Manager:

  • Executive Support & Coordination: Provide high-level support to the Vice President of Sales & Marketing and the Home Office Sales & Marketing team, including managing complex calendars, scheduling meetings, preparing documents and presentations, coordinating internal and external meetings, preparing agendas, capturing detailed meeting notes, tracking action items, and ensuring timely follow-up. Maintain organized digital files and documentation across multiple initiatives. Coordinate travel arrangements and logistics as needed.
  • Research & Reporting: Assist with market research, competitive analysis, budgeting inputs and SWOT documentation to support sales strategy and positioning. Track progress toward goals and prepare clear summary reports and dashboards. Maintain visual trackers for leadership updates and cross-departmental alignment.
  • Project Coordination - Growth & New Community Development: Provide coordination support for new community development and presale initiatives, including maintaining project timelines, task lists, milestone trackers, deliverable logs, and action-item registers. Support recurring project meetings by preparing agendas, capturing minutes, tracking decisions, and monitoring follow-up actions, risks, and dependencies. Assist with document control and version management for project-related materials, including presentations, reports, approvals, and distribution lists. Coordinate scheduling and logistics for internal meetings, partner meetings, and site visits as appropriate. Track deliverables across internal departments and external partners to support timely execution. Support the setup, launch, and ongoing operations of temporary sales centers, including coordination of materials, logistics, vendor support, and marketing collateral approvals and distribution across digital and print channels.
  • Communications & Outreach Support: Support grassroots marketing and outreach efforts in collaboration with the on-site sales team. Assist with planning and execution of sales events, webinars, information sessions, and community presentations. Track RSVP, registrations, attendance, and follow-up needs. Support internal communications related to sales progress, presales goals, marketing initiatives, and project updates.
  • Financial & Operational Support: Provide light financial and coordination support related to Sales and Marketing projects and initiatives. Includes tracking invoices, maintaining budget trackers, routing documentation for approvals, and supporting purchase order or vendor coordination processes assigned.
  • Confidentiality & Professional Discretion: Maintain confidentiality of sensitive information related to sales strategy, development projects, financial data, residents, teammates, and partners. Exercise sound judgment and discretion in all communications and documentation.
  • Work Environment, Schedule & Travel Expectations: This role operates in a hybrid environment, with a combination of remote work and in-person presence as needed. Travel may be required to UMC locations, the Home Office, and a new community development project. Occasional evening or weekend availability may be required to support events, meetings, or critical project milestones.
