The Sales & Event Coordinator at Jump Sports Development Center is a dynamic role designed for a high-energy professional who thrives at the intersection of commercial growth and operational excellence. Operating as the primary point of contact for corporate clients, sports organizations, and social event hosts, you will own the complete event lifecycle—from the initial sales inquiry and contracting through to seamless on-site execution and post-event follow-up.
This position demands a strategic mindset to meet defined revenue targets and maximize the utilization of our indoor and outdoor facilities, including basketball and volleyball courts, soccer fields, and on-site lodging. You will serve as the logistical anchor, coordinating cross-functionally with operations, maintenance, and food and beverage teams to ensure every event is delivered with precision and according to contracted specifications. Your main goal is to increase the center's sales and revenue while ensuring every guest receives the high-quality experience that defines Jump Sports.
Sales & Booking Management
- Proactively generate and qualify leads for corporate events, team-building experiences, sports tournaments, birthday parties, school and community organization events, and all facility rental opportunities.
- Serve as the primary point of contact from initial inquiry through post-event follow-up. Conduct facility tours, deliver customized proposals, and maintain long-term client relationships to drive repeat bookings and referrals.
- Maintain accurate and current records within the CRM system; log all leads, touchpoints, proposals, and contracts. Track and report weekly and monthly sales metrics including lead volume, conversion rates, and revenue closed.
Administrative & Team Support
- Participate in site visits, planning meetings, and pre-event walkthroughs with clients and internal teams to confirm setup, equipment, catering, and any special requirements.
- Manage client interactions via CRM systems, ensuring tracking of all leads, proposals, and contracts with accuracy and timeliness.
- Prepare weekly and monthly sales reports; track performance metrics and assist the Director of Operations with prospecting, follow-up calls, and sales presentations.
- Process event contracts, deposits, and final payments per established financial procedures; apply correct pricing, discount codes, and promotional structures as authorized.
Marketing Support
- Assist in marketing initiatives; develop and distribute promotional materials to increase event inquiries and drive awareness of facility programming.
- Support promotional execution by ensuring correct pricing and codes are applied; collaborate with marketing on social media content relevant to events and programs.
- Partner with local companies, schools, and community organizations to secure recurring events and bookings.
Cross-Functional Collaboration
- Work closely with operations, food and beverage, lodging, facility maintenance, front desk, and coaching staff to align event requirements with available resources and operational capacity.
- Participate in weekly operational planning meetings; communicate upcoming event demands, client special requests, and facility needs in advance to all relevant departments.
- Support promotional execution by ensuring correct pricing and codes are applied across all booking platforms and internal systems.
- Assist with reporting, data entry, and general sales operations tasks assigned by the Director of Operations.
Event Booking & Coordination
- Manage the event booking process from inquiry to confirmation; maintain the master events calendar and provide timely communication updates to all clients and internal departments.
- Coordinate logistics with all internal departments – catering, facility maintenance, lodging, and coaching staff – to ensure smooth execution of tournaments, camps, corporate events, and all bookings.
- Prepare and distribute complete Banquet Event Orders (BEOs), timelines, staffing assignments, and detailed function sheets for every confirmed event no later than 72 hours prior to execution.
- Ensure smooth communication and an exceptional experience for all event clients throughout the pre-event, execution, and post-event phases.
Event Execution and Day-Of Support
- Serve as the primary on-site point of contact during events; oversee event flow from setup through breakdown and direct facility staff, and maintenance personnel to ensure all contracted deliverables are met.
- Provide on-site client support to ensure high-quality guest experience; monitor event progress in real time and resolve operational issues, service gaps, or client concerns immediately and professionally.
- Execute post-event client follow-up within 48 hours of event conclusion to address outstanding items, collect satisfaction feedback, and present re-booking or upsell opportunities.
Qualifications & Skills
- Minimum 1–3 years of verifiable experience in sales, customer service, or event management, preferably in the sports, hospitality, or multi-use venue industry. Demonstrated history of managing client relationships from initial contact through delivery.
- Bachelor’s degree in Business Administration, Marketing, Sports Management, or Hospitality preferred.
- Excellent verbal and written communication in both English and Spanish; demonstrated ability to build rapport with diverse clients, community stakeholders, and internal teams.
- Strong computer skills include Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM software. Ability to operate event coordination and scheduling tools; willingness to learn proprietary systems.
- High attention to detail; capable of managing multiple events, projects, and contracts simultaneously without error. Strong ability to prioritize competing demands and meet firm deadlines.
- Willingness and ability to work variable hours on a regular basis, including day, evenings, weekends, and holidays, as required by event schedules. This expectation is a condition of employment in this role.
