Sales & Events Coordinator Perched in the hills overlooking Santa Barbara, El Encanto is a luxury hotel renowned for its timeless charm, personalized service, and unforgettable guest experiences. We are seeking an organized, service-driven Sales & Events Coordinator to join our Sales & Marketing team. This role is ideal for someone who thrives in a fast-paced hospitality environment and enjoys bringing exceptional events to life. From intimate weddings and social celebrations to executive meetings and luxury group experiences, you'll play an integral role in supporting every stage of the client journey while partnering with teams across the hotel to deliver seamless execution and memorable experiences. What You'll Do - Coordinate the planning and execution of weddings, social events, corporate meetings, and group programs from initial booking through event completion.
- Serve as a primary point of contact for clients by responding to inquiries, coordinating logistics, confirming event details, and delivering an exceptional planning experience.
- Prepare proposals, contracts, Banquet Event Orders (BEOs), event diagrams, rooming information, menus, and client correspondence.
- Coordinate site inspections, menu tastings, planning meetings, and pre-conference meetings while supporting on-site event execution.
- Maintain accurate client files and event information within Delphi and other hotel systems.
- Partner with Culinary, Banquets, Front Office, Housekeeping, Engineering, Stewarding, Spa, Security, Valet, and other hotel departments to ensure flawless event execution.
- Assist with event billing, deposits, final guarantees, VIP amenities, reporting, forecasting, and departmental projects.
- Anticipate client needs, resolve challenges professionally, and ensure every interaction reflects El Encanto's commitment to luxury hospitality.
