Moss Consulting helps companies build stronger HR practices through hands-on consulting and long-term client relationships. Nicole Moss travels to build relationships and grow our presence market by market, and virtually everything we do to support that runs through HubSpot.
The Role
We're hiring a Sales Operations Coordinator & Executive Assistant to work directly alongside Nicole Moss as she grows our presence market by market. You'll spend regular time in our Austin home office supporting Nicole when she's in town, travel with her to markets to support her while she engages with partners, our internal team, and clients, and be her go-to person for everything that runs through HubSpot, our CRM.
HubSpot experience — in both sales and marketing — is a must for this role. Nearly everything we do runs in and out of HubSpot, so this isn't a nice-to-have; it's the core skill this job is built around.
What You'll Do
Spend regular time in our Austin home office supporting Nicole when she's in town, in addition to remote work and market travel
Travel with Nicole to markets to support her as she meets partners, internal team members, and clients — you're at her side during local events
Coordinate our public marketing events and attend them in person to help make sure they deliver a strong return
Serve as Nicole's day-to-day interface to HubSpot — pulling contact records, deal details, and account history whenever she needs them, and making sure our CRM never slows her down
Support, and sometimes build, outreach email campaigns in HubSpot to announce Nicole's trips and drive engagement ahead of them
Support Nicole through the contract process as deals move toward close
Manage and support our HubSpot leads and deals pipelines, keeping them accurate and current
Access personal and company information in HubSpot on Nicole's behalf with discretion, and help her use HubSpot and our other internal tools as effectively as possible — your job is to remove friction from her day, never add to it
Track Nicole's schedule and all upcoming sales activity, and prepare a meeting playbook for every client meeting — reviewed with Nicole the morning of — so she walks in prepared every time
Track every new client's status and report on it to Nicole and the leadership team, making sure the handoff from sales to HR operations is clean and nothing falls through the cracks
Serve as Nicole's interface to partners, clients, our internal team, and the public when needed — you'll represent her and Moss Consulting even when she's not in the room
Learn Moss Consulting's services well enough to explain our value, spot a potential client, and connect them to the right resource inside the company — most often, that's Nicole
What We're Looking For
Strong, hands-on HubSpot experience across both Sales Hub and Marketing Hub — this is required, not preferred. You should be comfortable building campaigns, managing pipelines, and pulling reports without help
Experience working with a Fractional HR Outsourcing firm — this is the single strongest indicator of fit for this role
Experience with a similar professional services firm — law, dental, or another expertise-based practice — is a nice-to-have
Experience thriving in a high-pace, constantly evolving environment is a must
Comfortable with regular travel and being "on" in person at events, meetings, and trips — this is not a desk-only role
Experience supporting an executive or sales leader directly — scheduling, meeting prep, travel coordination, and the judgment to know what they need before they ask
Strong organizational skills — able to track multiple markets, a full sales pipeline, and a travel calendar without dropping details
Discretion with sensitive personal and company information
Strong writing skills — you'll be drafting campaign copy, meeting playbooks, and status reports that other people rely on
Comfortable representing Moss Consulting in person at public events and stepping in wherever the day needs you
Self-starter who can work cross-functionally with marketing and systems teams without needing heavy oversight
Compensation & Logistics
Full-time, hourly, $47,000–$69,000/year equivalent (approx. $22.60–$33.17/hour), depending on experience and HubSpot proficiency
Based in the Austin, TX area — regular time in our home office, remote otherwise, plus travel to support Nicole's market trips and public events
All travel expenses are covered — you'll get a company credit card for travel, a per diem for full travel days, and reimbursement for other work-related expenses as needed
Company laptop provided
Health insurance and PTO aren't offered yet — we're actively building those programs, and this role will be eligible once they launch
