Description

Immediate need for a talented Sales Operations Specialist – Commercial Operations. This is a 06+ Months Contract opportunity with long-term potential and is located in San Mateo, CA (Onsite). Please review the job description below and contact me ASAP if you are interested. Job ID:26-24749 Pay Range: $40 - $45.32/hour. Traveler benefits as per agency package. (Benefits vary by vendor and assignment.) Key Responsibilities: Coordinate new vehicle orders and track surplus vehicle assignments, state transfers, disposals, and remarketing requests. Work with fleet suppliers and internal partners to maintain accurate vehicle information and status. Review Fleet data, identify discrepancies, and coordinate corrections. Support driver compliance by reviewing required driver records and documentation. Monitor vehicle registration renewals and escalate outstanding requirements. Prepare recurring Fleet reports, dashboards, and performance metrics. Maintain information used for Fleet sustainability reporting. Sample Operations Coordinate activities related to sample training verification, inventory reconciliation, and audit preparation. Support Practitioner Authorization Change (PAC) forms and CRM account updates. Serve as a first point of contact for field questions related to sample ordering, storage, accountability, and compliance. Help investigate sample discrepancies and loss/theft reports. Compile documentation and support responses for internal and regulatory audit requests. Follow up on outstanding sample-related actions to ensure timely resolution. Field Enablement Review exhibit and sponsorship escalations for completeness, accuracy, required documentation, and policy alignment. Validate event dates, costs, letters of intent, agendas, and lead-time requirements. Track post-event attestations and follow up on missing or late submissions. Help drive timely compliance closure for field events. Provide escalation support for licensing and credentialing activities. Coordinate with internal teams to facilitate jurisdictional submissions and renewals. Key Requirements and Technology Experience: 6+ years of experience in the pharmaceutical or biotechnology industry, including internship experience. Experience in Sales Operations, Commercial Operations, Field Operations, Field Sales Support, or a related commercial function. Experience supporting a field sales or commercial organization. Strong proficiency with Microsoft Excel, PowerPoint, Word, and Outlook. Strong attention to detail and ability to identify discrepancies in data and documentation. Excellent organization and follow-through with multiple priorities and deadlines. Strong written and verbal communication skills. Ability to work effectively with sales teams, operations leaders, vendors, and cross-functional partners Experience with pharmaceutical samples, sample compliance, inventory reconciliation, or sample accountability. Experience with CRM systems and commercial data management. Experience supporting events, exhibits, sponsorships, or field enablement. Exposure to licensing, credentialing, regulatory documentation, or audit activities. Experience coordinating with external vendors or suppliers. Familiarity with corporate fleet or vehicle operations. Experience using AI productivity tools such as Microsoft Copilot, ChatGPT, Claude, or similar tools.
