Overview
Thales is seeking a Sales Order Administrator to provide first-level customer service and support spare parts sales activities. This position manages customer orders from quotation through fulfillment, including order acknowledgements, status updates, changes, returns, and delivery coordination.
The ideal candidate has strong customer service and communication skills, is highly organized, and can manage multiple priorities in a fast-paced open-office environment. Experience with SAP or another ERP-based sales order management system is highly preferred. Aviation or spare parts experience is a plus but not required.
Job Description
- Create customer quotations, enter sales orders, issue order acknowledgements, process order changes, and coordinate order fulfillment.
- Verify customer information, part numbers, quantities, pricing, discounts, shipping instructions, terms, and delivery dates in SAP.
- Monitor a shared Microsoft Outlook mailbox and customer portals to promptly respond to orders and inquiries.
- Provide professional customer service regarding order status, changes, expedite requests, and other questions.
- Coordinate with Purchasing, Material Planning, Warehouse, Logistics, and Distribution Center teams to support on-time deliveries.
- Monitor backorders and identify orders at risk of delay or being placed on hold.
- Track delivery performance and assist with identifying opportunities for improvement.
- Address customer issues involving rejected or disputed shipments and invoices.
- Process RMAs, credit memos, exchange orders, shipment tracking, and missing documentation as needed.
- Maintain accurate reports, metrics, and order information.
- Perform other duties as assigned.
Required Skills
- 1–3+ years of relevant experience in customer service, sales order administration, supply chain, distribution, material planning/scheduling, purchasing, inventory control, or production control.
- Excellent written and verbal English communication skills.
- Strong customer service skills with the ability to communicate professionally by email and phone.
- Basic Microsoft Excel and Outlook skills, including experience working with shared/group mailboxes.
- Strong organizational skills and attention to detail.
- Ability to accurately calculate order totals, credits, discounts, and percentages.
- Ability to multitask and prioritize work in a fast-paced environment.
- Ability to work independently while collaborating effectively within a team.
- Strong problem-solving skills with the ability to identify potential issues and take corrective action.
- Experience working within a matrix organization.
Preferred Skills
- SAP experience, particularly sales order management.
- Experience with ERP-based sales order management systems and EDI.
- Knowledge of quotation and sales order management processes.
- Basic MRP, replenishment, and inventory system knowledge.
- Spare parts support experience within aviation, airline, electronics manufacturing, or repair environments.
- Microsoft Word, Excel, Outlook, and PowerPoint proficiency.
- Experience creating reports, metrics, charts, or dashboards.
- Power BI experience.
- Knowledge of import/export regulations and Incoterms.
- Ability to interpret purchase order terms and conditions.
- APICS Inventory/Planning, ISM Supply Chain, or Customer Service certification is a plus.
Education Requirements
- AA/AS degree in a related field with at least 1 year of related experience; or
- High school diploma/GED with at least 2 years of related experience; or
- Comparable combination of relevant education and experience.
