Job Summary:
We are looking for a versatile and detail-oriented Sales & Procurement Coordinator to support both our sales team and procurement operations. This hybrid role combines customer service, sales support and purchasing responsibilities. The ideal candidate will help drive sales activities while ensuring timely sourcing, purchasing, and delivery of goods to meet business and customer needs.
Key Responsibilities:
Sales Support:
  • Provide administrative and operational support to the sales team
  • Handle customer inquiries, orders, and follow-ups via phone, email, and in-person
  • Prepare sales quotes, proposals, invoices, and contracts
  • Maintain and update customer databases and CRM systems
  • Process sales orders and coordinate with warehouse/logistics for timely delivery
  • Assist in preparing sales reports and performance tracking
  • Support sales promotions and marketing activities
Procurement Responsibilities:
  • Source and purchase goods, materials, and services as required by the business and sales orders
  • Negotiate with suppliers for best prices, terms, and delivery schedules
  • Create and manage purchase orders (POs) in the system
  • Monitor supplier performance and maintain strong vendor relationships
  • Track incoming shipments and resolve delivery or quality issues
  • Maintain accurate inventory records and reorder levels
  • Conduct market research to identify cost-effective suppliers and new products
General Duties:
  • Ensure smooth coordination between sales, procurement, warehouse, and finance teams
  • Handle documentation for both sales and procurement (quotations, POs, invoices, delivery notes, etc.)
  • Assist in stock control and inventory management
  • Support month-end reporting for sales and procurement
  • Maintain filing systems (physical and digital) for all sales and purchasing records
  • Perform any other administrative tasks as assigned
Requirements & Qualifications:
  • Education: High School Diploma or equivalent (Bachelor's degree in Business Administration, Supply Chain, or related field is a plus)
  • Experience: 1–3 years of experience in sales support, customer service, procurement, or purchasing (experience in both areas is highly preferred)
  • Strong computer skills, especially in MS Office (Excel, Word, Outlook) and ERP/CRM systems
  • Excellent communication and negotiation skills
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Problem-solving skills and ability to work independently
  • Knowledge of supply chain and inventory management is an advantage
