Sales & Production Coordinator

About the Role

We are a growing landscape, hardscape, and paving company seeking a Sales & Production Coordinator to support project scheduling, logistics, and sales coordination. This role helps keep projects organized and on schedule while supporting the sales process through follow-up, communication, and administrative coordination.


Position Overview

This position is responsible for coordinating project timelines, scheduling crews, ordering materials, and maintaining communication between sales, operations, and clients. The role also supports the sales process by assisting with estimates, proposals, and tracking sales activity.


This is a key role in maintaining organization across both production and sales functions.


Key Responsibilities


Scheduling & Operations

  • Build and manage daily, weekly, and long-term project schedules
  • Coordinate with the sales team to transition approved projects into production
  • Schedule crews, subcontractors, and equipment based on project needs
  • Adjust schedules as needed due to weather, delays, or changing priorities
  • Order materials and plants and coordinate delivery to job sites
  • Work with Operations Managers to support efficient crew utilization
  • Ensure permits, approvals, and pre-job requirements are completed before the project start
  • Track project progress and update internal systems
  • Identify and resolve scheduling conflicts or inefficiencies
  • Maintain accurate project records, notes, and timelines
  • Assist with forecasting workload and staffing needs

Sales Support

  • Schedule estimates and appointments for the sales team
  • Follow up with leads, proposals, and past customers
  • Communicate with clients to provide updates and answer questions
  • Assist with preparing, reviewing, and sending proposals and contracts
  • Help ensure proposals are completed and delivered in a timely manner
  • Track and update sales activity in CRM systems, spreadsheets, or other tools
  • Maintain organized records of leads, proposals, and closed projects
  • Support pricing updates and learn product and material costs
  • Compile reports on sales activity for internal review
  • Provide administrative and coordination support to the sales team
  • Serve as a point of contact for clients during the sales process

  • Materials are ordered accurately and delivered on time
  • Communication between teams and clients is consistent and clear
  • Follow-up with leads and customers is timely

  • Positive client experience throughout the process

Qualifications

  • Strong organizational and time management skills
  • Ability to manage multiple projects and priorities
  • Clear communication and problem-solving abilities
  • Experience in scheduling, logistics, or project coordination preferred
  • Experience in landscaping, construction, or similar industries is a plus
  • Proficiency with scheduling tools, spreadsheets, and project management software (LMN experience is a plus)
