Bowhead seeks an SCA Administrative Assistant

Bowhead seeks a detail-oriented Administrative Assistant to provide full-time onsite administrative support to the telecommunications operations team at Joint Base McGuire-Dix-Lakehurst, NJ. The Administrative Assistant will support the Site Manager and telecommunications staff by managing contract documentation, work order tracking, and administrative processes required to support the Base Telecommunications System operations and maintenance program.

The Administrative Assistant will serve as a key support role ensuring the accuracy and organization of contract records, coordinating documentation with government stakeholders, and assisting with the administrative requirements necessary to maintain efficient program operations.

Responsibilities

Essential functions will include: 

  • Provide administrative support to the Site Manager and telecommunications maintenance team.
  • Manage and track CIPS work orders and associated documentation.
  • Process and track Remedy/ESD/EITaaS trouble tickets.
  • Maintain and update CAIRS records and other telecommunications databases as required.
  • Assist with preparation and tracking of work order estimates.
  • Maintain PID utilization reports and contract tracking documentation.
  • Coordinate Tier III repair and return tickets and related administrative records.
  • Support work order billing documentation and contract administrative requirements.
  • Maintain personnel files and assist with human resources documentation.
  • Assist with purchasing documentation and payroll administrative support.
  • Maintain organized filing systems and contract records.
  • Answer and route phone calls and coordinate communications with staff and government personnel.
  • Schedule meetings and maintain calendars for program personnel as required.
  • Assist with preparation of briefings, reports, and program documentation.
  • Conduct research and assist with work order and estimate budgeting documentation.
  • Support general office operations and other day-to-day administrative tasks required to support program execution.
  • Other duties as assigned

Qualifications

  • Education
    • High school diploma or equivalent required.
    • Additional education or coursework in business administration, office management, or administrative support is preferred.
  • Years of experience
    • Two to five years of experience providing administrative or program support in a professional office environment required.
    • Experience supporting government contracts, telecommunications programs, or technical operations environments is preferred.
  • Required skills or certifications
    • Strong organizational and administrative skills with the ability to manage multiple tasks and maintain accurate records.
    • Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
    • Ability to track work orders, maintain contract documentation, and support administrative reporting requirements.
    • Strong written and verbal communication skills and ability to interact professionally with technical staff and government personnel.
    • High attention to detail and ability to maintain accurate documentation and records.
    • Ability to manage sensitive personnel and contract information with discretion.
    • Experience supporting government work order systems, trouble ticket systems, or telecommunications administrative processes is preferred.
  • Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint
  • Ability to communicate effectively with all levels of employees and outside contacts
  • Strong interpersonal skills and good judgment with the ability to work alone or as part of a team

Physical Demands:

  • Must be able to lift up to 50 pounds
  • Must be able to stand and walk for prolonged amounts of time
  • Must be able to twist, bend and squat periodically

CLEARANCE REQUIREMENTS: There are currently no Security Clearance requirements for this position; however, candidates must be able to successfully pass a background check.  Due to the location of this work, US Citizenship is required.  Bowhead reserves the right to change this requirement if necessitated by business needs or contractual obligations.
