As a Scanner Operator, you will play a crucial role in the digitization and organization of documents within our organization. Operating specialized scanning equipment, you will be responsible for accurately and efficiently scanning documents, ensuring data integrity, and maintaining high-quality standards throughout the process. Your attention to detail and ability to work effectively in a fast-paced environment will contribute to the smooth operation of our document management systems.
Essential Job Responsibilities:
Operate high-speed document scanners and associated software to digitize paper documents, photographs, and other materials.
Prepare documents for scanning by removing staples, paper clips, and other obstructions, and arranging them in the correct order and orientation.
Adjust scanner settings, such as resolution, color depth, and file format, to ensure optimal image quality and file size.
Monitor scanner performance and troubleshoot minor technical issues, such as paper jams, misfeeds, or software errors, to minimize downtime and maintain productivity.
Verify the accuracy and completeness of scanned images, ensuring that all pages are captured and legible, and re-scan any documents with errors or defects.
Organize and label scanned files according to established naming conventions, folder structures, and metadata requirements, facilitating easy retrieval and access.
Perform quality control checks on scanned images, comparing them to original documents and flagging any discrepancies or anomalies for further review or correction.
Maintain confidentiality and security of sensitive documents and information throughout the scanning process, adhering to company policies and data protection regulations.
Assist with the indexing, cataloging, and archiving of scanned files in electronic document management systems (DMS) or content management systems (CMS), ensuring accurate and efficient document retrieval.
Collaborate with team members and supervisors to prioritize scanning tasks, meet deadlines, and achieve departmental goals and objectives.
Keep work area clean and organized, including regular maintenance of scanning equipment and supplies, to ensure a safe and efficient work environment.
Participate in training sessions and continuing education programs to stay updated on scanning technologies, best practices, and industry standards.
Qualifications:
High school diploma or equivalent required; Associate''s degree or vocational training in document management, information technology, or a related field preferred, or an equivalent combination of education and relevant experience.
Minimum of 1-3 years of experience operating document scanners or similar imaging equipment in a professional setting, preferably in a document management, records management, or administrative support role.
Proficiency in using document scanning software, such as Adobe Acrobat, Kofax Capture, or Kodak Capture Pro, as well as basic image editing tools and techniques.
Familiarity with document imaging standards and file formats, such as PDF, TIFF, JPEG, and OCR (optical character recognition), and the ability to troubleshoot common scanning issues and errors.
Strong attention to detail and accuracy, with the ability to maintain focus and concentration while performing repetitive tasks and handle delicate or fragile documents with care.
Excellent organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a dynamic work environment.
Effective communication skills, both verbal and written, with the ability to follow instructions, ask questions, and work collaboratively as part of a team.
Commitment to confidentiality, integrity, and professionalism in handling sensitive or confidential information, with a demonstrated understanding of data security and privacy regulations.
"The pay rate for this position is $15/hr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered."
