Schedule Coordinator - Customer Service Specialist | $23.00 - $31.25 Per hour. We pay for experience

Work Hours: 7:30am to 3:30pm | Monday through Friday

Location: Onsite in Danvers, MA

Job Duties:


  • Manage incoming phone calls and email communications in a fast-paced office environment
  • Respond to customer questions and service requests with professionalism and excellent customer care
  • Schedule and coordinated service appointments while ensuring timely follow-up and dispatching
  • Plan and optimize technician routes to improve efficiency and reduce travel time
  • Dispatch technicians based on availability, workload, and service priority
  • Coordinate recurring maintenance appointments and managed preventative maintenance schedules
  • Provide customers with real-time updates regarding technician arrival times and service status
  • Maintain accurate records of customer interactions, service calls, and scheduling information within dispatch software systems
  • Communicate consistently with dispatchers, technicians, and customer service staff to relay scheduling updates, job changes, and critical service information

What We Are Looking For:

  • 2+ years of experience in customer service, scheduling, dispatching, or a related administrative office role
  • Industry knowledge of heating oil, propane, gasoline, diesel, HVAC, or power generation systems is a strong advantage
  • Strong verbal and written communication skills with the ability to stay calm and professional in high-pressure situations
  • Highly organized with excellent attention to detail and the ability to manage multiple priorities efficiently
  • Experienced using dispatch software, GPS systems, and other scheduling or tracking tools
  • High school diploma or equivalent required
