Legal Entity Aultman Deuble Heart Vascular Hospital LLC Position Summary The scheduler accurately and completely schedules appointments and tests for patients. Department Summary CVC is a large cardiology group with over 20 physicians and 10 Advanced practice providers. We have 19 office locations across 7 counties. The Canton office is where the main centralized schedulers work out of. We schedule over 400 New patients a month. Schedulers schedule hospital follow-up appointments each day. The practice sees over 1600 patients weekly across all locations and providers. the majority of the time is spent on the telephone scheduling appointments. Qualifications High School Diploma or equivalent. Basic knowledge regarding insurance types. Skills Detail oriented. Adaptability to frequent interruptions and frequent changes in the daily routine. Work efficiently and accurately with frequent interruptions Able to prioritize and organize workload throughout the day. Excellent communication skills to communicate with a variety of clients in a professional and courteous manner. Must be able to work independently. Basic computer knowledge/skill. Responsibilities Expectations Answer phones in a professional, courteous, and friendly manner. Schedule office visits for all patients at all office locations. This consists of scheduling in proper time spot in computer, mailing new patient information and collecting necessary information from referring physicians. Collaborates daily with the Hospital Discharge Team for Follow-up Office Visit post discharge. Schedules appointments from recall and stand-by lists. Sends the Reminder call list and monitors daily returns on Reminder call responses from patients. Notifies necessary staff of urgent add-ons to the schedule. Collaborates with Clinical staff and Providers if patients need to be seen sooner then schedules allow. Uses appropriate forms. Returns call-backs promptly. Sends appointment reminder cards. Obtains NP information using appropriate NP form. Takes complete and accurate messages to include date and time of call, correct spelling and brief messages with the number to return the call. Uses correct form. Tracks Insurance Appeals and Grievances if necessary. Tracks and Monitor even distribution of New Patients among the Providers. Reporting it to a Clinical Manger on a weekly basis. Daily follow through with patients that are seen in the ED needing an Office visit the next day. Create and Track appropriate Tools to monitor all scheduling workflows. Department Responsibilities Expectations Schedule testing that is done within the CVC offices. Daily collaboration with the Discharge Team for CHF 7-day Follow-up appointments. Working Conditions Normally works 8 hours per day, Monday through Friday, with daily lunch break. May require paid overtime before or after normal working hours. Works in well-lighted and well-ventilated office. Subject to frequent interruptions in performance duties. Spends majority of time during day using computers, copiers, printers, telephone, and faxes. Hazardous Exposure Category Category III - Includes tasks that involve no exposure to blood, body fluids, or tissues and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood; body fluids or tissues (although situations can be imagined or hypothesized under which anyone anywhere might encounter potential exposure to body fluids.)
