The Oncology Scheduling Coordinator is responsible for independently creating and scheduling appointments within the electronic medical record for a complex, multispecialty medical practice. This is supported by gathering patient-specific demographic and provider information to accurately assess the nature of the request and determine the appropriate appointment area; properly advising patients regarding the need for co-payments and referral authorizations to ensure the patient arrives on time and is prepared for their procedure or visit; Through this process, the Oncology Scheduling Coordinator responds to and interacts with a variety of individuals including patients, customers, referring physicians, clinical staff and family members. To provide exceptional service, the Oncology Scheduling Coordinator is required to navigate multiple systems simultaneously. As applicable, codes procedures with the correct CPT and ICD-10 codes for purposes of scheduling clinic visits and in-office procedures. Facilitates communication between physicians, patients and other practices regarding scheduling and appointments to ensure seamless transition for patient.
Responsibilities:
Obtains and enters complete and accurate demographic and insurance information into the practice management system.
As applicable, assigns CPT and ICD-9 codes for treatments, labs, imaging orders or procedures for purposes of scheduling and obtaining prior authorizations.
Manages the provider or treatment schedule to proactively resolve conflicts, optimize the efficiency of the resources, and maximize customer service to the patients.
Performs and/or supports the scheduling of follow-up clinic visits for patients.
Performs and/or supports the scheduling of lab, radiology and other testing as requested by the providers. This includes working with the hospital, outside centers and physician offices and communicating with patients to ensure that schedules are appropriate and timely.
Reports relevant information requiring immediate attention to provider, as appropriate.
Regularly meets with providers (physician, PA, nurse, et.al.) to review their overall status, including reviewing and resolving patient or scheduling issues, and reviewing upcoming activities that may impact provider’s schedule and/or patient care.
Obtains external medical record documentation by contacting referring physician or other provider offices and ensuring requested documentation is received timely and filed in the medical record prior to the patient appointment.
As appropriate, distributes and reviews financial assistance packets and assists patient/responsible party with appropriate financial assistance application process. Refers complex or non-compliant patient financial issues to Manager or Financial Specialist.
Assists in researching and obtaining accurate patient insurance information.
Fulfills appropriate requests for other duties as assigned by the site manager or providers.
Acts as a resource to office staff. Uses skills and experience to anticipate requirements and guides activities of less experienced staff.

High school graduate or equivalent.

Skills:
Ability to read and write in English, bilingual in Spanish helpful
Strong organizational skills
Ability to communicate effectively and collaboratively with physician, practices and various hospital departments
Computer knowledge, keyboarding skills, switchboard skills and the ability to operate general office equipment are required.
Experience:
Three years experience in related healthcare field with demonstrated knowledge of medical terminology, CPT and ICD-10 coding and outpatient scheduling preferred with one year of experience required.
