The Scheduling Assistant supports the scheduling team by coordinating appointments, maintaining accurate scheduling information, communicating with customers and internal departments, and helping ensure jobs are ready for their scheduled template and installation dates. This position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities:
Assist with scheduling and coordinating template and installation appointments.
Review upcoming jobs to identify missing information, approvals, materials, or other items that could affect scheduling.
Communicate with customers, builders, sales representatives, and internal departments regarding scheduling needs.
Assist with confirming appointment dates and arrival windows.
Follow up on jobs that are not ready for their scheduled appointment.
Communicate scheduling changes to the appropriate customers and internal teams.
Help identify scheduling conflicts and escalate issues to the Install Scheduler or Manager.
Monitor the scheduling calendar for openings, cancellations, and opportunities to improve scheduling efficiency.
Ensure scheduling notes and customer communications are documented accurately in Moraware.
Assist with managing the template and install email boxes.
Support the Install Scheduler with daily administrative and scheduling tasks.
Provide backup coverage for scheduling responsibilities when needed.
Work closely with Project Coordinators, CAD, Production, Purchasing, Template Technicians, and Install Crews to help keep jobs moving.
Assist with Service & Warranty scheduling.
Other duties as assigned.
Qualifications:
Previous experience in scheduling, customer service, office administration, construction, or a related field preferred.
Strong organizational and time-management skills.
Excellent attention to detail.
Ability to communicate professionally with customers and coworkers.
Comfortable working with multiple priorities and changing schedules.
Ability to work independently while also being a strong team player.
Proficient with Microsoft Outlook, Excel, and other computer systems.
Experience with Moraware or similar scheduling/job management software is a plus.

A successful Scheduling Assistant will help keep the scheduling calendar accurate and up to date, identify potential scheduling issues before they become problems, communicate changes quickly, and provide dependable support to the Install Scheduler and Project Coordination team.

While performing the duties of this job, the employee is regularly required to sit for long periods, use hands and arms with frequent repetitive motions. The employee is occasionally required to stand and walk and must be able to see, speak and hear.
