Open Arms Assisted Living is seeking a highly organized and dependable Scheduling Coordinator to support staffing operations across a large portfolio of residential homes. This role is essential to ensuring all homes are properly staffed, shifts are covered, and residents receive consistent, high-quality care.

The ideal candidate thrives in a fast-paced environment, demonstrates strong problem-solving skills, and takes full ownership of staffing needs from start to resolution.


Key ResponsibilitiesScheduling & Staffing

  • Develop, manage, and maintain staff schedules across multiple homes and all shifts (1st, 2nd, and 3rd)
  • Ensure full coverage of all scheduled shifts daily
  • Adjust staffing in real time based on availability and operational needs

Call-Off Management & Shift Coverage

  • Respond promptly to call-offs, no-shows, and urgent staffing gaps
  • Proactively secure replacement staff through available resources (float staff, overtime, call-ins)
  • If coverage cannot be secured, the Scheduling Coordinator is required to report onsite and remain until appropriate coverage is arranged

Communication & Coordination

  • Maintain accurate staff availability and contact information
  • Communicate schedule updates clearly and promptly to staff and management
  • Work closely with leadership to address ongoing staffing needs

On-Call Rotation

  • Participate in a rotating on-call schedule with other Scheduling Coordinators
  • Manage the designated scheduling phone during assigned after-hours and weekend rotations
  • Respond to urgent staffing needs during on-call periods

Tracking & Reporting

  • Track attendance, including call-offs, late arrivals, and no-shows
  • Identify trends and escalate concerns to management
  • Support enforcement of attendance and scheduling policies

Qualifications

  • Experience in staff scheduling, coordination, or healthcare operations preferred
  • Strong organizational and multitasking skills
  • Ability to work under pressure and handle urgent situations
  • Excellent communication and problem-solving abilities
  • Reliable, responsive, and detail-oriented

Work Schedule & Expectations

  • Standard office hours are 8:00 AM – 5:00 PM
  • Must be able to respond to staffing needs in real time during working hours
  • Participation in after-hours and weekend on-call rotation is required
  • Flexibility to address urgent staffing issues outside of standard hours when assigned on-call
  • Willingness to step in and provide onsite coverage when necessary
