Scheduling Coordinator

Position Overview

NEO Surgical Group is seeking a highly organized and detail-oriented Scheduling Coordinator to join our growing healthcare team. This role plays a critical part in ensuring efficient patient scheduling, seamless office operations, and an exceptional patient experience in a fast-paced medical environment.

The ideal candidate is professional, dependable, and comfortable communicating with patients, providers, and staff while managing multiple priorities throughout the day.

Key Responsibilities

  • Coordinate and manage patient appointment scheduling accurately and efficiently
  • Communicate with patients, physicians, and internal staff regarding scheduling needs, updates, and appointment confirmations
  • Utilize HIPAA-compliant systems, including Athena One EMR, to schedule, update, and maintain patient appointments
  • Maintain accurate patient records while ensuring confidentiality and compliance with privacy regulations
  • Answer incoming calls, respond to emails, and handle appointment-related inquiries professionally and courteously
  • Verify appointment details, insurance information, and patient demographics as needed
  • Assist with general administrative duties including filing, documentation, and office support tasks
  • Collaborate with clinical and administrative teams to improve scheduling workflows and patient flow
  • Ensure compliance with office policies, medical scheduling protocols, and regulatory requirements

Qualifications

  • Previous experience in medical scheduling, healthcare administration, or a related healthcare role preferred
  • Knowledge of medical terminology and medical office procedures
  • Experience with scheduling software and EMR systems; Athena One experience strongly preferred
  • Strong organizational skills with exceptional attention to detail
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize responsibilities, and perform efficiently in a fast-paced environment
  • Professional demeanor with strong customer service skills
