COMPENSATION & SCHEDULE

• $68,000 annually + semiannual performance bonus based on organizational and individual metrics

• Monday–Friday, 8:00 AM–5:00 PM; occasional overtime based on business needs

ROLE IMPACT

Lead a high-volume surgical patient scheduling team of approximately 18 direct reports, driving timely patient access, provider utilization, and a consistent patient experience. This hands-on leadership role combines employee coaching and performance management with operational analytics, root-cause analysis, and continuous process improvement. Success is measured through stronger scheduling performance, team engagement, productivity, quality, and conversion.

KEY RESPONSIBILITIES

• Lead, coach, develop, and performance-manage approximately 18 scheduling team members, including one-on-ones, training, feedback, and accountability.

• Oversee daily patient scheduling and call workflows, including documentation review, insurance information, provider availability, complex scheduling requirements, and escalations.

• Monitor KPIs including utilization, quality, conversion rates, handle time, productivity, schedule adherence, and scheduling performance; identify trends and root causes and implement action plans.

• Improve patient access and operational efficiency by evaluating workflows, staffing, training, processes, and systems and translating performance data into actionable recommendations.

• Partner with practice teams and referral sources, support onboarding and team development, and ensure compliance with HIPAA, patient confidentiality requirements, and organizational standards.

MINIMUM QUALIFICATIONS

• 3+ years of experience in oral surgery, dentistry, surgical or specialty healthcare, medical scheduling, patient access, or a healthcare contact center.

• 2+ years of direct supervisory or people-management experience, including coaching employees and managing measurable performance expectations. (4-5 years strongly preferred)

• Experience leading high-volume healthcare scheduling or patient-access operations, using performance data and KPIs to identify root causes and drive measurable operational improvements.

CORE TOOLS & SYSTEMS

• Microsoft Excel, including VLOOKUPs, PivotTables, and charts

• Scheduling and practice-management systems

• Electronic Health Record/Electronic Medical Record (EHR/EMR) systems

• Customer Relationship Management (CRM) platforms

• Contact-center systems and performance reporting tools

PREFERRED SKILLS

• Supervisory experience in oral surgery, dentistry, another surgical specialty, or a procedure-driven healthcare environment.

• Experience leading approximately 15–20 direct reports and improving metrics such as utilization, conversion, quality, productivity, handle time, or service levels.

• Associate or bachelor’s degree and demonstrated success in workflow optimization, employee engagement, and continuous improvement.
