POSITION OVERVIEW This position carries out a wide range of clerical tasks at a fully proficient level, with minimal supervision. The work covers a variety of administrative fields such as limited fiscal work, procurement tasks, human resources support, inventory control, and building/office management.
This role provides direct administrative support to the Principal and Assistant Principal(s) while serving the broader school community. The incumbent monitors diverse data sets to identify and resolve discrepancies, ensuring accuracy across the school's administrative functions. The incumbent maintains the school's operating budget, Student Activity Fun ds, and/or grant activities. At this level, financial tasks follow a specifically defined scope, tailored to the scale and complexity of the school's fiscal operations.
ESSENTIAL FUNCTIONS General Administrative work: Greet and respond to variety of stakeholders, which include diverse internal and external contacts as the scope of work is large (principal's office, community and entire school). Assist stakeholders with a variety of questions, use resources to find answers and clarify matters. Manage administrator schedules/calendars Create and proofread a variety of materials for staff including letters, memos, presentations, and reports Provide back up clerical support for School Administrative Assistant 1 as needed. Support administrative team with coordination of coverage when staff is out and there are positions left open
Budget and Inventory: Manage the school operating budget, identify future spending and complete requisitions. Track and reconcile grant funding if applicable. Monitor the school activity fund (SAF) and perform financial functions such as coding transactions, making deposits, preparing checks for vendors, bank reconciliation, monthly reporting, and year end reporting. SAF categories/transactions primarily include field trips and fundraisers. Support verification of sensitive asset monitoring Maintain supply and vendor contacts Coordinate annual audits of items.

Data Entry, Research, and Reports: Complete data entry processes using multiple and/or different databases. Perform audits in database systems or in various spreadsheets to reconcile information, identify and correct errors. Generate and review reports in database systems to assist professional staff. Review and track time sheets for accuracy and completeness before sending forward for processing Support student enrollment process (entry) and transition of records (upon departure) in the absence of the School Administrative Assistant 1 and at peak enrollment time
Personnel: Track leave use under the Family and Medical Leave Act, assist with gathering and submitting documentation. Review/verify leave on time sheets. Monitor, update and maintain general position/staffing information for school. Performs other duties as assigned
