The School Support Program Coordinator is a key member of the team, providing administrative and management support to the VP of School Support, the Director of School Support, and other School Support Leadership team members. The School Support Program Coordinator is a key member of the team, providing administrative and management support to the VP of School Support, the Director of School Support, and other School Support Leadership team members. Essential Job Functions:
Internal Coordination/Planning
- Manage calendar for VP of School Support or other key senior roles in School Support as needed
- Manage and prioritize all scheduling requests and invitations on a timely basis to ensure that commitments are met
- Ensure conflicts are promptly addressed
- Create and manage calendar invites for all internal meetings across School Support
- Maintain documentation of meetings and events with identification of key next steps
- Maintain schools master for New Visions and define a process for frequently reviewing and updating
- Manage Internal Hub website for New Visions School Support staff and regularly update materials, links, and other resources
- Reorganizing and inventorying school support resources, anticipate needs, and make revisions to the site as needed
- Maintain accurate distribution list for all principal groups, internal School Support groups and other lists as needed
- Manage School Support Department purchasing and expenses as necessary
- Support developing and maintaining positive team culture
- Assist on special projects and assignments as required
Event Coordination and External Communication
- Independently coordinate the administrative and logistic supports necessary for larger external meetings, Convenings and other events as needed including:
- Create and manage calendar invites, ensuring the right people/groups are added to the invites
- Maintain accurate registration and system for monitoring registration
- Manage day of logistics for virtual and in person events
- Develop and maintain process checklist for managing the logistics of events scheduled
- Implement and follow timeline of key tasks leading up to and following events
- Proactively communicate with key internal and external audiences in alignment with agreed on timelines
- Document meeting notes and key next steps
- Support all communications from the VP of School Support and general communications including creating newsletters, researching, drafting, and standardizing design elements
- Produce newsletters on a regularly scheduled basis for external audience
Required Education and Experience:
- Minimum of 2 years experience
- G-Suite user, or desire to learn quickly
- Proficient in Zoom functionality (breakout rooms, etc.) or desire to learn quickly
- Basic spreadsheet skills, or desire to learn quickly
- BA or comparable experience required

Salary Information
While the majority of new hires’ starting salaries shall be expected to be placed in the first half of the range(s) to allow space to grow in the job, for those who already have significant relevant experience at that level of the job, placement at the higher end of the range(s) is possible.
