Job Description:
School Counseling Secretary (12 Months)
Supports School Counseling Services, Grades 6-12
The School Counseling Secretary provides comprehensive administrative and clerical support to the School Counseling Department serving students in grades 6-12. This position supports counselors, administrators, students, families, and staff through the coordination of counseling office operations, student records, scheduling processes, testing support, and graduation-related activities. The position requires strong organizational skills, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced school environment.
Primary Responsibilities
- Provide administrative support to the Director of School Counseling and School Counselors
- Assist with college application processes and related documentation
- Coordinate and support the counseling departments events and activities
- Maintain records related to student community service activities
- Maintain and update the School Counseling website and related communication
- Assist with updates and distribution of the Program of Studies and School Profile documents
- Process grading reports, grade changes, incompletes, and summer school records
- Support PSAT, SAT, and AP testing coordination and logistics
- Manage new student registration and records intake
- Process working papers and employment certificates for students
- Prepare alumni transcript requests and verification checks
- Provide support for SchoolLinks and related student information systems
- Coordinate student appointments and counseling office scheduling
- Assist with underclassmen and senior awards, scholarships, and recognition programs
- Support graduation preparation and related activities
- Manage faxing, mail distribution, and backup office support functions, including bells
- 504 scheduling, grades 6-12
- Assist with master schedule preparation and related data entry
- Support quarterly grade processing and reporting functions
- Maintain accurate student records and ensure confidentiality of information
- Other duties as assigned
Qualifications
- High school diploma required; associate's degree preferred
- Prior office or school-based administrative experience preferred
- Strong technology, organizational, and communication skills
- Experience with student information systems and Google/Microsoft Office platforms preferred
- Ability to maintain confidentiality and work collaboratively with students, staff, and families
This is a 12 month position. Salary and benefits as outlined in the SEIU collective bargaining agreement.
