Summary/Objective
- This is advanced secretarial support work at the full performance level. Work includes individual responsibility for procedural processing of particular functions, with a primary emphasis on assisting litigants with Protection From Abuse (PFA) and custody processes.
Position Duties and Responsibilities
- PFA Court: Accompany PFA litigants to court, proofread orders, copy, file and distribute PFA documents to litigants and other Court offices.
- PFA: Interview litigants and review PFA petitions, accurately input data from petition into computer. Generate and edit standard court orders. Schedule PFA Hearings.
- Custody:
- Review custody petitions received in-person and electronically. Schedule custody conferences/hearings. Mail notices and add case flags to prepare cases for a custody conference. Prepare and electronically file COPE Orders.
- Monitor and process custody filings from the Online Filing Site and office workflows.
- Assist with reception desk tasks when needed; checking-in litigants and verifying contact information for custody conferences/hearings. Review court docket, determine if litigant needs to complete any forms and generate said forms.
- Answer telephone; determine nature of call, answer questions about Custody, Protection Order and Divorce services provided at the Family Court Office.
- Familiarity with the Court's website to assist litigants in locating Custody, Divorce and general Family Court Forms online.
- Monitor emails and faxes received in the general Family Court inbox. Respond to emails when appropriate or forward to appropriate staff/office for action.
- Perform other duties as needed to ensure efficient and effective operation of the Family Court Office.
Requirements and Qualifications
- Knowledge of clerical practices and procedures commonly employed in administrative, governmental, legal, judicial or similar offices.
- Thorough knowledge of English usage, grammar, spelling and punctuation as used in routine clerical assignments.
- Ability to organize workload, establish priorities and complete clerical processing requirements.
- Skill in gathering information from and explaining procedural and/or processing requirements to visitors and callers.
- Minimum of 50 wpm typing.
Acceptable Training and Experience
- G.E.D or High School Diploma
- Three to four years clerical experience or any equivalent combination of acceptable training and experience which has provided the knowledge, skills and abilities cited above.
