    TITLE: SECRETARY, ELEMENTARY SCHOOL

    CONTRACT TERMS: 12 month

    SALARY CLASSIFICATION: Support Staff Salary Schedule Group C

    GENERAL STATEMENT OF RESPONSIBILITIES:

    To demonstrate a caring and understanding relationship with parents and students; to have a positive working relationship with the principal and staff; to maintain a high level of confidentiality; to assure the smooth and efficient operation of a school office.

    ESSENTIAL FUNCTIONS

    • Serves as a liaison for the school with the community;
    • Generates correspondence;
    • Keeps individual and school calendars, as required;
    • Maintains both general and confidential files;
    • Directs the processing of mail;
    • Manages use of telephone and other communication systems;
    • Provides for punctual and efficient routing of messages;
    • Maintains schedule for scholastic and extra-curricular use of school facilities;
    • Ensures proper use of office and school equipment and reports maintenance needs;
    • Purchases and maintains supplies inventory;
    • Prepares requisitions, as directed;
    • Maintains student enrollment information and related records, and prepares reports;
    • Coordinates and manages student record requests and withdrawals and documents changes;
    • Prepares staff payroll data for district's Payroll Department;
    • Maintains and documents employee absences, related records and reports;
    • Maintains substitute records, completes necessary forms and reports;
    • Trains and supervises student aides, as needed;
    • Collects, counts accurately, and deposits all moneys on a timely basis with the administration office;
    • Oversees student attendance registers;
    • Provides daily bus/parent pick-up changes in information to students and teachers;
    • Performs other related tasks as assigned.

    QUALIFICATIONS

    A. REQUIRED EDUCATION, TRAINING & EXPERIENCE

    • High school diploma or equivalent;
    • One year of related experience;
    • Demonstrated proficiency with PC programs;
    • Ability to communicate and work well with staff, students and the public.

    PERFORMANCE EXPECTATIONS

    TIME MANAGEMENT: Must plan two to twelve weeks in advance;

    PUBLIC CONTACT: Interacts primarily with other employees and the general public;

    LEVEL OF RESPONSIBILITY: Must direct activities of a small group of employees or have responsibility for valuable equipment or highly confidential records.

    EVALUATION PROCEDURE: In accordance with provisions specified in Governing Board policy.

    SUPERVISION RECEIVED: Reports to the Principal
