HOT SPRINGS SCHOOL DISTRICT 23-2 SECRETARY SALARY RANGE: (Determined by the knowledge, skills and abilities of the applicant) $15.50 to $16.25 per hour DOE following the Current Negotiated Agreement schedule. PRIMARY FUNCTION: Serves as Secretary for the Hot Springs School District, providing clerical support to the School Principal and school staff. Work assignments involve making decisions pertaining to the type and amount of work to be completed, and how it should be accomplished based on the school's goals, priorities, and commitments. Decisions made are based on a knowledge of the procedural requirements with an awareness of the specific functions and assignments of the school office. QUALIFICATIONS: Minimum of one (1) year of prior experience which is directly related to the position. The experience must have equipped the candidate with the knowledge, skills, and abilities to successfully perform the duties of the position. A minimum high school diploma is required. It is critical that the applicant exhibit poise and tact, have excellent communication skills (both oral and written.), good "people" skills, appropriate keyboarding skills including speed and accuracy and respect for the confidentiality of information to which he/she has access. The applicant must be comfortable working with PC based computer applications, be proficient in working with Microsoft based applications including Outlook, Word, Excel, creating and printing reports, as well as familiar with databases and on- line database applications. Positive communication skills and able to relate well with students, staff, administration, parents, and the community. Be a self-starter, and able to work independently on re-occurring tasks without direct supervision. Must be willing and comfortable about seeking assistance and asking questions when help is needed. REPORTS TO: Directly reports to the Elementary or Secondary Principal. RESPONSIBILITIES: Serve as a receptionist for the School Elementary or Secondary Office. Receives visitors or business callers in person or by telephone. Ascertains the nature of business, provides, if possible, the desired information by drawing on own knowledge or taking it from the records, or refers calls to appropriate individuals. Assures that messages are relayed promptly and accurately. Employees will review all income/outgoing correspondence and determine appropriate action. On own initiative, prepares correspondence to routine inquiries and repetitious requests/items. Types correspondence, reports, and records, classroom lists and schedules, in final form from handwritten notes, or draft copies. Ensures correct punctuation, capitalization, spelling, grammar, and proper format. Types reports and charts of average technical nature requiring discretion and ingenuity in the arrangement of correct spacing, tabulation, and margins. Maintains an accurate filing system for student records, budget information, and correspondence, assuring that all files are in proper order and all files are easily retrievable. Employees are responsible for all procurement-related functions, i.e., processing all requisitions and orders, and maintaining an accurate and current inventory of all supplies, materials, and equipment. Employee will keep Supervisor informed of all spending, status o f budget, and is responsible for bringing any unusual matters to the attention of the Supervisor. Make appointments and arrangements for meetings for the Supervisor and keep the Supervisor informed of all dates. Employees shall act as a liaison between parents, students, staff, and Principal, on their own initiative, resolving routine issues, and referring unusual circumstances to Supervisor. Will be responsible for coordinating and assisting in school related functions such as enrollment of students. Employees must be sufficiently aware of the total operation of the school to be able to manage effectively during Principal's absence. Performs related duties assigned by the principle. No overtime is allowed unless prior approval by the Administrator. Prompt and regular attendance is required for this position.
