PRIMARY PURPOSE:
- To serve as secretary to the building principal and to facilitate the efficient operation of the school office.
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or GED from an accredited institution (required)
Special Knowledge/Skills:
- General secretarial skills Typing, 60 words per minute
- Good telephone skills
- Working knowledge of bookkeeping Computer knowledge/experience
- Word-processing skills
- Interpersonal skills
Minimum Experience:
- Two years educational secretarial/clerical experience or fifteen hours or more of college business courses
MAJOR RESPONSIBILITIES AND DUTIES:
Specific Responsibilities and Duties:
- Maintains principal's office calendar
- Schedules appointments for principal
- Accepts telephone calls and mail for principal
- Types correspondence, memos, reports, agenda, handbooks, etc
- Maintains the school bidget
- Checks and enters on computer
- Places orders (TMS, work orders, etc)
- Tracks spending
- Maintains Budget files
- Checks balances on accounts for departments
- Issues Requests for Checks
- Keeps inventory of office supplies and orders supplies when necessary
- Maintains office files
- Attends inservice meetings as requested by the principal and other school district administrators
- Maintains Board Policy Manual
- Maintains Personnel Information
- Collects and files Personal Data Sheets
- Prepares Teacher Roster
- Prepares list for Service Awards
- Serves as building payroll officer
- Issues paychecks for faculty and staff
- Processes travel requests and distribute travel reimbursement checks
- Maintains and processes Saturday School and Tutorial Forms and Paraprofessional Weekly Time Reports
- Checks eligibility maintains and sends UIL forms for all sports and Academic Contests; assists in ordering letter jackets
- Sorts and distributes Inter-Office mail
- (Senior High only) Assists with graduation activities
- Prepares and types Diploma List for Seniors
- Checks diplomas when received
- Adds Award stickers
- Provides other assistance as needed
- Administers school insurance
- Distributes informations
- Collects requests for insurance
- Prepares School Accident report, other than sports
- Prepares Southern Association Report
- Services as Notary for school
Shared Responsibilities
- Assists other office staff (receptionist, registrar, attendance clerk, and bookkeeper) as needed
- Assists with mail
- Assists with substitutes as needed
- Assists in the clinic in emergencies
- Supervises office aides
- Key operator for office copy machine
- Performs other duties as assigned
