Job Title: Secretary II, (Hearings Office) Pay Grade: SA 05

Primary Purpose:
Organize, manage, and provide secretarial/clerical services for the LISD Hearings Office, and r esponsible for
maintaining accurate student records for the students attending DAEP/JJAEP for PEIMS reporting purposes, and
accountability.
Minimum Requirements:
- High school diploma or GED from a school recognized by the Texas Education Agency/Texas Private
School Accreditation Commission
- Two years of secretarial/office experience in a public education environment
Preferred Requirements:
- 48 College semester credit hours from an accredited higher education institution.
- Experience working with PEIMS (Public Education Information & Management System)
- Experience working with the district's Skyward student information system
Special Knowledge/Skills:
- Proficient skills in the use of t he keyboard/computer and software (Microsoft Word, Excel, Access,
Publisher, and Power Point).
- Effective organizational, communication, and interpersonal skills.
- Ability to multi-task and work independently.
- Knowledge of basic Math skills.
- Ability to provide professional and courteous customer service to all.
- Ability to input and maintain accurate student information data and utilize district student discipline and
attendance software system (Skyward).
- Proper telephone etiquette.
- Ability to work collaboratively with district and campus administrators, faculty and staff.
Major Responsibilities and Duties:
- Ensures that student DAEP/JJAEP placement packets/folders are accurate and complete with the
documentation required for disciplinary hearings/placements.
- Compiles pertinent data and creates Power Point presentations as needed when preparing various state

and local reports for PEIMS submission and board committee meetings.
- Prepares purchase orders and payment authorizations.
- Verifies placement and expulsion PEIMS codes used in PEIMS 425 to ensure accuracy.
- Participates in PEIMS audit to review and ensures accurate coding by campuses.
- Communicates with and assists campus administrators to insure that proper due process has been
followed and provides assistance regarding proper PEIMS 425 discipline codes.
- Coordinates and/or reviews hearings with Hearing Officer, parents, and campus administrators and
ensures timely notification of the same.
- Ensures accurate completion of registration/withdrawal for students placed at JJAEP.
- Performs pupil accounting functions as directed, records student absences and tardiness, prepares
discipline and attendance reports, deficiency plans, grades, etc. Inputs PEIMS data into the district's
student information system data base (Skyward) and student attendance program as per Student
Attendance Accounting Handbook (SAAH) in a timely manner.
- Attends Skyward trainings and PEIMS related meetings and staff development sessions.
- Upholds and maintains the confidentiality and security of student records/data.
- Works with campus and district PEIMS teams to maintain data quality, integrity and accuracy.
- Keeps informed of and complies with all state and district policies and regulations concerning primary job
functions.
- Verifies attendance and prepares documentation/reports to ensure timely monthly payments are
provided to Webb County JJAEP.
- Monitors student enrollment and placements at JJAEP to ensure the accuracy of days assigned and owed
prior to return to the home campus.
- Monitor student enrollment after completion of JJAEP placement at their home campus.
- Upkeeps JJAEP student enrollment on Skyward with the accuracy of date entry/withdrawal, absences, and
placement rollovers on a yearly basis for PEIMS submission.
- Review and correct PEIMS error reports for JJAEP middle and high school.
- Monitors master schedule, calendar and bell schedule for JJAEP and reports any irregularities or concerns
to Hearings Officer.
- Performs such other duties as may be assigned.
