Job Description

Join a dedicated healthcare team where your organizational skills and attention to detail directly support patient care and clinic operations. As a Secretary II in Clinic Administration, you will play a vital role in ensuring the smooth day-to-day functioning of outpatient services, supporting leadership, and helping maintain high-quality care for the East Hawaii community.

Key Responsibilities

  • Provide comprehensive clerical and administrative support to the Clinic Operations Director, including scheduling meetings and maintaining accreditation documents
  • Coordinate and order clinic supplies while supporting general office operations and maintenance needs
  • Manage and input staff schedules into the Kronos timekeeping system, ensuring accuracy and timely submission
  • Assist with staff timekeeping processes, including training, approvals, and tracking leave balances
  • Organize and maintain records, including meeting minutes, interoffice mail, and clinic documentation
  • Collaborate with internal departments and external partners to support provider credentialing and clinic operations


REQUIRED QUALIFICATIONS:

MINIMUM QUALIFICATIONS: To qualify, you must meet all of the following requirements. Please note that unless specifically indicated, the required education and experience may not be gained concurrently.  In addition, qualifying work experience is credited based on a 40-hour workweek.

Experience:

  • At least six (6) months of general clerical experience demonstrating basic knowledge of grammar, spelling, and arithmetic
  • Two (2) years of progressively responsible specialized clerical or secretarial experience, including tasks such as scheduling, file management, correspondence, and office coordination 


Substitution of Education for Experience:

1.  Graduation from high school with courses in basic English and arithmetic may be substituted for the six (6) months of General Clerical Experience.

2.  Successful completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum leading to a degree or diploma at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be deemed equivalent to one (1) year of Specialized Clerical Experience.

3.  Partial completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be substituted for the Specialized Clerical Experience

* Rates listed for paid holidays, vacation and sick days are for 1.0 Full Time Equivalent (FTE) positions assigned to 8 hour shifts. Accruals for these benefits are otherwise prorated based on FTE.

Pre-Employment Health Requirements

Offers of employment will be contingent on successfully passing a pre-employment examination, which includes a drug screen and other regulatory medical requirements such as, but not limited to, a tuberculosis (TB) screen.  The cost for drug screening and blood draw for QuantiFERON and Titers, shall be borne by the Hawaii Health Systems Corporation.

Shift Details

Must be available to work shifts, weekends and holidays as necessary based on hospital operations. Services are provided 24/7.
