POSITION: Secretary III, Compliance and Inventory - Nutrition Services
GENERAL DESCRIPTION
Responsible for nutrition data as it pertains to Office of Superintendent of Public Instruction (OSPI) and United States Department of Agriculture (USDA); evaluation of federal requirements and required data documents; work with nutrition services staff around compliance. Maintain and manage department inventory.
DUTIES AND RESPONSIBILITIES
A secretary hired for this assignment may perform all or some of the responsibilities defined below.
- Be thoroughly familiar with the operation of the department
- Greet visitors, staff, and students both in person and via phone, in a friendly and professional manner
- Respond to questions and requests from staff, students, parents and supervisors in a positive and professional manner both in person and via phone providing a high level of customer service
- Perform duties related to nutrition services compliance of USDA and OSPI requirements
- Maintain and manage department inventory
- Oversees warehouse inventory operations, including receiving and inspecting deliveries, verifying packing slips, stocking and rotating inventory, distributing supplies and equipment, manage surplus materials and conducting year-end inventory
- Complete weekly inventory in computer system and communicate department food/supply needs to Nutrition Services Director(s)
- Support district-wide inventory management by coordinating with vendors and school sites, provide guidance to Nutrition Services staff on operational and compliance procedures, and manage food recovery, redistribution and waste reduction initiatives
- Maintain a clean and efficient warehouse; provide routine rotation of stocked products and supplies; monitor refrigeration equipment and temperatures on a continual basis
- Assist Head Secretary with all department paperwork compliance
- Monitoring, tracking, and communication regarding nutrition services compliance
- Provide program operations support, coordination and communication with Nutrition Services teams and district departments
- Assist with Nutrition Services operations in school buildings throughout the district as needed
- Manage and record Nutrition Services vehicle maintenance
- Perform all clerical work as assigned by the director(s)
- Enter, compile and generate data for required reports upon request
- Establish and maintain electronic and manual filing systems, following state records retention guidelines
- Distribute department/building keys and maintain accurate records
- Arrange for distribution of incoming mail and community publicity items
- Operate and ensure maintenance of office equipment, including copy machines, computers and printers
- Update and maintain building website and calendars
- May provide support for after-hours events as needed
- Provide a high level of customer service
- Professionally handle confidential information with integrity and discretion

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of: Warehouse stocking and product rotation requirements; service and maintenance of equipment, safe equipment operation procedures, safe and efficient storage requirements, safe stacking procedures, codes and safe practices for storage in fire protected areas; district programs and procedures; proper lifting techniques; clerical and technological skills including Google Drive, database management and Microsoft Suite; Skyward; district approved record keeping and reporting systems; culinary math and conversions; USDA meal compliance and school food purchasing
Ability to: Conduct accurate inventory of products and supplies; safely operate various warehouse equipment including forklift, pallet jack, hand trucks, taping tools, banding tools, box cutters, truck carts, etc.; use e-mail and inventory control software; estimate product and other supply needs required to maintain district inventory standards; maintain written schedules and records; independently make decisions; organize and accomplish a variety of responsibilities; maintain confidentiality; operate standard office equipment; read and follow written and verbal instructions, as well as communicate clearly in both verbal and written communications; work variable hours as requested/needed; work alone or in a team setting; maintain good rapport with students, staff, and the public.

EVALUATION
The employee shall be evaluated per the terms of the Public School Employees (PSE) Collective Bargaining Agreement by the building principal, department director, or designee. The process shall include an evaluation of the employee's performance of the above Duties and Responsibilities and Knowledge, Skills and Abilities.
CONTINUING EDUCATION/TRAINING
- Must complete school safety training within thirty (30) calendar days from hire date and annually thereafter
- Must acquire and maintain CPR/First Aid card within sixty (60) calendar days from hire date and as scheduled thereafter
- Attend designated trainings as specified by supervisor and/or department director in order to maintain knowledge/skills
