Summary

The Corporate Services Manager leads AOI's corporate services function within General Administration and Facility Services. This position establishes administrative policies, service standards, and internal controls and directs programs supporting workplace operations, fixed assets, physical security and access control, corporate travel and events, insurance administration, vendor management, and departmental budgeting. Working through internal staff and external service providers, the manager is accountable for consistent, compliant, and cost-effective service delivery across assigned facilities and designated company-wide initiatives. The ideal candidate combines sound operational judgment, disciplined documentation and controls, people leadership, and the ability to coordinate effectively across a growing manufacturing and technology organization.

Job Duties

Corporate Services Strategy, Policy & Governance

  • Establish the Corporate Services strategy, annual objectives, service standards, and operating priorities in alignment with departmental and company goals.
  • Own the development, approval, implementation, and periodic review of company policies, standard operating procedures (SOPs), and internal controls related to assigned corporate services programs.
  • Define process ownership, approval authorities, documentation requirements, service-level expectations, and escalation paths to support consistent execution across departments and facilities.
  • Partner with Finance, Human Resources, Information Technology, Legal, Environmental Health & Safety (EHS), Facilities, Procurement, and business leaders to ensure policies are practical, compliant, and aligned with functional requirements.
  • Evaluate compliance gaps, operational risks, audit findings, and recurring service issues; direct corrective actions and verify sustainable resolution.
  • Prepare operating reviews, performance dashboards, risk updates, and recommendations for the Director and other leadership stakeholders.

Workplace & Corporate Services Operations

  • Direct day-to-day corporate services and administrative support operations, ensuring reliable service delivery, appropriate staffing, and timely resolution of internal requests.
  • Oversee assigned workplace services, business travel frameworks, corporate events, office services, and other administrative programs, including the use of qualified vendors where appropriate.
  • Serve as the senior escalation point for workplace service disruptions, access or security concerns, vendor performance issues, and cross-functional operational conflicts.
  • Lead operational planning for office moves, space changes, facility expansions, business transitions, and employee onboarding or offboarding in coordination with Facilities, IT, HR, Security, and EHS.
  • Standardize service delivery and documentation across assigned locations while allowing for site-specific legal, operational, and business requirements.

Fixed Asset, Records & Insurance Administration

  • Own the administrative control framework for fixed assets, including receiving, tagging, record creation, transfers, physical inventories, reconciliation support, and disposition documentation.
  • Coordinate with Finance, IT, Facilities, and asset owners to maintain accurate records, segregation of duties, audit trails, and timely resolution of inventory discrepancies.
  • Oversee corporate insurance administration activities assigned to the department, including policy records, renewal support, vendor Certificates of Insurance (COIs), incident documentation, and claims coordination with Finance, Legal, HR, and insurers.

Physical Security, Access Control & Business Continuity

  • Establish and maintain administrative standards for physical security, visitor management, badges, keys, access permissions, and related records in coordination with Security, IT, HR, Facilities, and EHS.
  • Coordinate response and escalation protocols for security incidents, workplace disruptions, severe weather, and other events affecting personnel or facility operations.
  • Support emergency preparedness, business continuity, and recovery planning for Corporate Services functions, including drills, contact lists, vendor contingencies, and post-incident improvement actions.

Vendor, Contract & Procurement Management

  • Lead sourcing, evaluation, selection, and contract renewal activities for corporate services vendors in partnership with Procurement, Legal, Finance, and applicable functional owners.
  • Define scopes of work, service-level agreements, key performance indicators, pricing structures, and compliance requirements; conduct regular vendor performance reviews and direct remediation when standards are not met.
  • Ensure vendor files include required contracts, licenses, insurance documentation, safety requirements, and other records before services begin and throughout the relationship.
  • Identify opportunities to consolidate services, improve quality, reduce risk, and achieve sustainable cost efficiencies without compromising operational reliability.

Budget, Financial & Performance Management

  • Develop and manage annual operating and capital budgets for Corporate Services and assigned facility-support programs, including forecasting, purchase planning, and approval controls.
  • Review monthly spending and variance results, investigate material deviations, and implement corrective actions or revised forecasts in partnership with Finance.
  • Develop business cases for service changes, vendor decisions, equipment, workplace investments, and headcount requests using cost, risk, capacity, and service data.
  • Track and report service quality, cost, responsiveness, compliance, project delivery, and vendor performance metrics to support continuous improvement and management accountability.

Team Leadership & Cross-Functional Projects

  • Lead, coach, and evaluate Corporate Services supervisors, specialists, coordinators, administrative staff, and contractors; set clear objectives and reinforce a service-oriented, accountable culture.
  • Translate departmental priorities into team work plans, staffing assignments, development goals, and performance expectations, while ensuring appropriate role clarity and escalation practices.
  • Lead complex cross-functional initiatives such as workplace relocations, facility expansions, service transitions, policy rollouts, and corporate operational improvement projects.
  • Perform other duties and support additional projects as assigned, consistent with the purpose and level of the position.

Qualifications

Required

  • Bachelor's degree in Business Administration, Operations Management, Facilities Management, Finance, Accounting, or a related field, or an equivalent combination of education and directly related experience.
  • 4-6+ years of progressive experience in corporate services, facilities or workplace services, administrative operations, business operations, or a closely related corporate support function.
  • At least 2 years of experience leading employees, contractors, or cross-functional programs, including assigning work, setting expectations, and managing performance or service outcomes.
  • Demonstrated experience developing or administering policies, SOPs, internal controls, records, and compliance-related processes.
  • Demonstrated experience with budgets, vendor or contract management, performance metrics, and cost-control initiatives.
  • Working knowledge of multiple corporate services areas, such as fixed assets, workplace operations, physical security or access control, corporate insurance administration, emergency preparedness, travel, or administrative services.
  • Advanced proficiency in Microsoft Excel and proficiency in Word, PowerPoint, Outlook, and collaboration or document-management tools.
  • Ability to analyze operational information, identify risks and root causes, make sound decisions, and communicate recommendations clearly to employees and leadership.
  • Strong organization, project management, negotiation, documentation, and cross-functional stakeholder-management skills.
  • Ability to work onsite and to provide occasional after-hours support for critical security, access, facility, or business continuity matters.

Preferred

  • Experience in a manufacturing, semiconductor, technology, public-company, or multi-site environment.
  • Professional written and verbal fluency in English and Mandarin Chinese.
  • Experience with SAP or another ERP or financial system, fixed asset platforms, access-control systems, vendor-management tools, work-order systems, or structured document repositories.
  • Experience supporting facility expansions, workplace relocations, capital projects, corporate insurance renewals or claims, or formal business continuity programs.
  • Certified Facility Manager (CFM), Facility Management Professional (FMP), Project Management Professional (PMP), or a related operations, risk, or asset-management certification.

Work Environment

Primarily an office and desk environment with regular presence in office, warehouse, manufacturing, and facility-support areas. The position may encounter noise, temperature variation, moving equipment, or other conditions requiring adherence to site safety rules and use of designated personal protective equipment.

Physical Demands

The role regularly requires sitting, computer and telephone use, walking through facilities, standing, reaching, and bending, and occasionally lifting or carrying items weighing up to 20 pounds.
