AuthoraCare Collective is currently seeking a Senior Accountant. This is a Full-time position Monday - Friday, 8:00am - 5:00pm. The role is hybrid with a minimum of 2 days in the office each week.

Job Summary:

The Senior Accountant is a key member of the Finance team, responsible for general ledger accounting, bank reconciliations, cash management, investment reporting, compliance, and audit support across three legal entities. This is a hands-on role requiring strong accounting fundamentals, intermediate-to-advanced Excel proficiency, and the ability to independently manage recurring processes and meet month-end deadlines consistently.

Qualifications:

Required

  • Bachelor's degree in accounting, Finance, or related field
  • Minimum 5 years of accounting experience, preferably in healthcare
  • Strong knowledge of GAAP and nonprofit accounting principles including fund accounting and net asset classification
  • Intermediate-to-advanced Excel proficiency: VLOOKUP/XLOOKUP, SUMIF, and pivot tables are required for this role
  • Experience with multi-entity general ledger systems; Blackbaud Financial Edge NXT strongly preferred
  • Ability to manage recurring close processes independently, meet deadlines consistently, and communicate proactively when issues arise
  • Strong attention to detail, organizational skills, and commitment to maintaining documentation in shared locations

Preferred

  • Experience in hospice, palliative care, or home health accounting
  • Experience with intercompany transactions & reconciliation
  • Experience with HCHB (HomeCare HomeBase) or similar EMR/billing system
  • Experience with investment account reconciliation and endowment fund tracking

Key Responsibilities:

General Ledger & Journal Entries

  • Prepare and post monthly recurring journal entries across all three entities: including payroll accruals, mileage accruals, prepaid amortization, depreciation, goodwill amortization, lease entries, and investment gain/loss
  • Manage intercompany journal entries, quarterly reconciliation, and fund transfers between entities
  • Record daily deposit entries, FSA/HSA withdrawals, bank charges, and money market activity
  • Ensure all entries are posted accurately before month-end close deadlines; maintain JE templates in shared location

Bank Reconciliations

  • Reconcile all assigned bank accounts monthly across multiple financial institutions: operating, foundation, money market, and other accounts
  • Identify and resolve outstanding items and reconciling differences promptly; maintain reconciliation workpapers in shared drive
  • Prepare daily deposits, manage remote deposit procedures, and record receipts to the GLReview cash receipts, match deposits to GL, and identify discrepancies; serve as backup for cash disbursements when needed

Net Assets, Investments & Donations

  • Maintain net asset tracking worksheet monthly with accurate fund classification; reconcile investment activity quarterly and prepare the quarterly investment transfer package including the Quarterly Transfer Detail worksheet
  • Review donations above $5,000: confirm restriction classification, maintain backup documentation, and coordinate quarterly fund transfers to the investment account

Compliance & Reporting

  • Prepare and file semi-annual NC Sales Tax Refund (April 15 and October 15)
  • Support annual Medicare Cost Report preparation: pull source data, reconcile to GL, and maintain step-by-step SOP
  • Support the annual external audit by preparing approximately 50% of audit request schedules and work papers across all three entities
  • Maintain written SOPs for all recurring processes

Balance Sheet & Financial Reporting

  • Reconcile all assigned balance sheet accounts by the 25th of each month using a month-by-month activity format; investigate and resolve any unexplained balances
  • Support monthly budget vs. actual variance analysis: prepare variance schedules, explain significant variances, and contribute to monthly financial reporting for leadership and the Finance Committee
