We are currently looking for a Senior Accounts Payable Specialist to manage all outgoing payments, processing invoices, maintaining vendor relationships, and ensuring timely payments to vendors while maintaining positive vendor relationships.

Schedule: This role requires full-time, onsite presence, Monday through Friday, at our Santa Ana, CA location.

Your Essential Duties:

  • Ensure thorough review of invoices and payments for accuracy and completeness.
  • Review and update processes for proper handling and coding of invoices to maintain general ledger expense account and inventory records.
  • Review and verify Purchase Orders and supporting documentation to ensure accuracy in coding.
  • Reconcile accounts payable aging report to general ledger balances.
  • Ensure purchase orders related to purchases made exclusively for Customers are submitted to billing team in a timely manner.
  • Assist with preparing correct and timely budget reports and purchase journals.
  • Participate in the recordkeeping of purchases for use in tax preparation and periodic audits.
  • Ensure W9s have been collected from all vendors prior to paying vendors and to ensure accurate and timely preparation of year-end 1099s.
  • Assist Staff Accountant team with accounting reconciliations as needed.
  • Prepare daily, weekly, and monthly reports and assist with month-end closing tasks.
  • Ensure proper maintenance, filing, and storage of records to assist in audits.
  • Perform other related duties as assigned.

Requirements

What You Bring:

  • Bachelor’s degree in Finance, Accounting or Business Administration is preferred.
  • Five to seven years of AP experience and training.
  • Experience managing processes.
  • NetSuite experience is preferred.
  • Experience with AP automation software is preferred.
